JOB DESCRIPTION
- Organize monthly project review meetings with Pillar Leads
- Assist/Advise and follow up with Pillar Leads
- On Project documentations, processes, reporting and usage of PPM Tool
- To update project financials and statuses for monthly project status report submissions
- To prepare reports for management reporting for major project/programme
- Includes verifying the information submitted are accurate and updated correctly.
- Assist in preparing powerpoint presentations
- Support development effort charge out projects
- Extract and prepare timesheet reports
- Track agenized approved monthly charges and raise any discrepancies to Pillar Leads
- Perform and reports to show project status and health, resource availability etc.
- Manage and control documents to ensure the latest versions are available for use
- Organize and coordinate events and workshops
PEOPLE
- Maintain Perm, Temp and Vendor resource inventory.
- Ensure staff reflected correctly in GEMS, PPM, etc.
- Department Org Chart updates.
- Track Temp and Vendor expiry and renewals.
- Track On-boarding / Off boarding, seating, locker etc.
- Time-sheet assignment.
PROCUREMENT
- Track Memos, SOW, PR, PO etc.
- Track Vendor payment.
- Filling contract documents.
LOGISTICS
- Business travel logistics.
- Meeting Rooms / Projectors booking.
- Govern clean desk policy.
- General housekeeping
PROJECT
- Coordinate info collection and submission (e.g. seating forecast, aging vendor payment, analytics, Budgeting, Performance Management, etc.
- On Project documentations, processes, reporting and usage of PPM Tool
- Assist in preparing powerpoint presentations
- Support development effort charge out projects
- Extract and prepare timesheet reports
- Track againsed approved monthly charges and raise any discrepancies to Pillar Leads
- Manage and control documents to ensure the latest versions are available for use
- Organize and coordinate events and workshops
- Project SDM Process Assurance and Delivery Dashboard for projects
Skills:
- Ability to interact with various levels of stakeholders including heads of departments
- Excellent written and verbal communications
- Proficient at MS Office Suite (Pivot tables, Vlookup, Charts, Presentations etc)
- Extreme attention to detail and ability to work with minimal supervision
- Ability to multitask and manage conflicting priorities
Experience:
- Overall experience of 4 to 8 years in professional organisations
- 2 to 5 years of experience in Process Documentation, Communications, PMO or similar roles in IT
- Experience creating Process Documents using MS Word, MS Visio, Gliffy, PPT etc.
- Experience working on Confluence, JIRA and other tools will be an added advantage
