Job Title: Office Manager / Project Co-Ordinator

Job Overview
We are seeking a highly meticulous and detail-oriented Office Manager / Project Co-Ordinator to provide comprehensive administrative and project support to our Managing Partner. This pivotal role is responsible for managing payroll and expenses, coordinating projects, handling travel and meeting arrangements, maintaining records, and ensuring compliance with Ministry of Manpower (MOM) requirements. The ideal candidate will demonstrate exceptional integrity, confidentiality, and loyalty, and possess strong multi-tasking and organizational skills.
Key Responsibilities
Office & Administrative Management
- Manage monthly payroll processes in coordination with outsourced vendors, including CPF payments.
- Oversee expense management, claims, and reimbursements for the Managing Partner.
- Maintain and update company databases, files, and records with a high degree of accuracy and confidentiality.
- Prepare, format, and proofread documents, reports, and presentations using Microsoft Word, Excel, and PowerPoint.
- Ensure compliance with MOM monthly reporting requirements and other statutory obligations.
- Track, manage, and follow up on invoices and payments, ensuring timely processing and resolution.
- Assist with client procurement processes, including vendor onboarding and documentation.
Project Coordination
- Support the Managing Partner in coordinating ongoing projects, including scheduling meetings, preparing agendas, and tracking deliverables.
- Manage project calendars, ensuring all deadlines and milestones are clearly communicated and met.
- Liaise with internal and external stakeholders to ensure smooth project execution.
Scheduling & Meeting Management
- Schedule and coordinate meetings for candidates, clients, and project stakeholders.
- Organize and manage complex travel arrangements and itineraries for the Managing Partner.
- Prepare meeting materials, take minutes, and ensure timely follow-up on action items.
Requirements
- Proven experience as an Office Manager, Project Coordinator, or similar role in Singapore.
- Strong familiarity with CorpPass and CPF payment processes.
- Excellent command of Microsoft Word, Excel, and ideally some experience with PowerPoint.
- Exceptional attention to detail, organization, and time management skills.
- Demonstrated ability to handle confidential information with integrity and discretion.
- Strong sense of ethics, loyalty, and professionalism.
- Ability to multi-task and prioritize effectively in a fast-paced environment.
- Excellent written and verbal communication skills.
- Prior experience with vendor onboarding, procurement processes, and invoice management is an advantage.
