A) Office Management Responsibilities
Office Supplies & Equipment
- Manage and monitor inventory of office supplies, stationery, and equipment to ensure consistent availability.
- Coordinate maintenance and servicing of office equipment (e.g., printers, copiers).
- Oversee the cleanliness and upkeep of the office premises.
Administrative Operations
- Maintain and track staff attendance records and handle registration-related matters.
- Handle renewal of electrical license and other regulatory requirements.
- Petty Cash claims/reimbursements.
- Answer phone calls, direct them to the appropriate personnel, and respond to inquiries.
- Provide support during the onboarding of new employees and assist in scheduling interviews.
- Assist with MOM-related matters (e.g., renewing work permits).
- Service Contracts & Renewals
- Oversee pest control services, including contract renewals.
- Manage office drinking water delivery arrangements and renewal of service agreements.
- Administer internet and phone line billing and contract renewals for office and staff.
- Schedule servicing and coordinate contract renewal for lift/reach trucks.
- Coordinate regular servicing of air conditioning units and manage contract renewals.
- Arrange inspection and renewal of fire extinguishers upon expiry.
- Manage copier machine servicing, handle breakdowns, and oversee contract renewals.
B) Exhibition & Event Support
- Assist in the preparation and coordination of product exhibitions, trade shows, and customer events.
- Liaise with vendors and event organizers for booth setup, logistics, and materials.
- Prepare and pack product samples, marketing materials, and equipment for events.
- Support internal and external events such as staff meetings, team-building activities, and client visits.
- Assist in special projects and provide backup support during busy or peak periods.
C) Documentation & Filing
- Assist with data entry and maintenance of customer and inventory records.
- Handle data entry and maintain both digital and physical filing systems.
- Prepare and format documents such as reports, presentations, and spreadsheets.
- Handle incoming and outgoing documents from another branch.
D) Warehouse and Quality Control Support
- Assist in coordinating incoming shipment inspections.
- Support the QC team in verifying documentation and physical condition of received goods.
- Record and report inspection findings and discrepancies to relevant departments.
- Ensure proper filing of inspection records and compliance with internal procedures.
- Assist with the day-to-day operations of the Singapore warehouse, including receiving, processing, and shipping stock.
E) Perform any additional tasks as assigned by management.
Requirements
- Diploma or equivalent in Business Administration or related field.
- 2-3 years of experience in an administrative role, preferably in a sales environment.
- Strong organizational and multitasking skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Good communication and interpersonal skills.
- Willingness to travel locally for exhibition/event support as needed.
