Job Summary

The Office Administrator plays a key role in ensuring smooth day-to-day operations in the office, supporting both administrative and hospitality functions. This role includes overseeing pantry and stationery supplies, coordinating office maintenance and cleanliness, managing internal logistics, and supporting HR and event-related activities.

Key Responsibilities

Office Supplies & Pantry Management:

  • Responsible for ordering and maintaining stock of stationery and pantry items.
  • Ensure timely restocking and inventory control.

Hospitality & Guest Relations

  • Serve tea and refreshments to guests and management whenever required.
  • Prepare and maintain meeting rooms, ensuring cleanliness and readiness.
  • Coordinate festive office decorations for events
  • Administrative Support:
  • Submit documents to Tenderboard
  • Handle IHP matters.
  • Oversee office hygiene and cleanliness.
  • Collect and distribute letters and manage office deliveries.
  • Coordinate lunch orders for staff and visitors
  • Act as Meeting Room Coordinator.
  • Manage mobile apps used internally.
  • In charge of dispatch services and logistics.
  • Handle face scan system for office and school access.
  • Filter and direct incoming calls and visitors as necessary.

HR & Recruitment Support

  • Assist in arranging interviews.
  • Update HQ Staff leave records and support HR admin tasks.
  • Manage company accommodation & liaison person for staff staying in the accommodation

Project & Event Management

  • Assist in planning and executing HQ office projects and events.
