HAID BIOTECHNOLOGY INDUSTRY (SINGAPORE) PTE. LTD. is looking for highly organized, proactive and detail-oriented Office Administrator to join our new startup team in Singapore.

The successful candidate will play a crucial role in maintaining a productive and organized work environment by handling WSH and environmental matters, handling business and/or operations licencing matters and providing comprehensive administrative and clerical support to ensure the efficient day-to-day operations of the Company.

Responsibilities:

  • Manage the Company’s Workplace Safety and Health and environmental matters including but not limited to organise and conduct WSH training to all staff, organise and conduct fire drill, waste management and etc.
  • Liaise with external safety office on all Workplace Safety and Health and fire safety matters and etc.
  • Manage and administer the Company licencing matter including but not limited to fire safety, business and/or operations and etc.
  • Manage and maintain office supplies, equipment and facilities, ensuring adequate stock levels and coordinating maintenance or repairs as needed.
  • Provide comprehensive administrative and clerical support to the management and staff members.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail, directing inquiries appropriately.
  • Organize and schedule meetings, appointments, and travel arrangements for staff as required.
  • Maintain an organized and efficient filing system, both physical and digital, for company documents and records.
  • Coordinate Company events and activities to foster a positive work environment.
  • Ensure office cleanliness and readiness for daily operations and visitors.
  • Oversee company security service and system/ requirement
  • Perform other ad-hoc administrative duties as assigned by the superior.

Requirement:

  • At least Diploma in any field.
  • At least 3 years proven experience in a similar role, especially in WSH and handling company’s licencing matters is an advantage
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
  • Attention to detail and a high level of accuracy in all work.
  • Proactive and resourceful approach to problem-solving.
  • Good command of both verbal and written English and Mandarin to handle Chinese -English translation and liaise with Mandarin-speaking business associates in China.
  • Ability to work independently and as part of a team in a fast-paced startup environment.
  • High level of integrity and discretion when handling confidential information.
  • Able to start immediately or short notice period preferred

Other Information:

  • Working Hours: Mondays – Fridays (8.00 am – 5.30pm)
