ABOUT THE ROLE

The Ninja Lab isn’t your typical gym. It’s where kids become heroes, obstacles become quests, and every week writes a new chapter in movement, confidence, and connection.

We’re looking for a Programs & Ops Executive who can bring order to the chaos — someone who thrives on structure, flow, and making the invisible systems that power our magic run smoothly.

You’ll wear many ninja hats:

• Planning unforgettable ninja birthday parties and holiday camps
• Supporting lesson plans and skill-tracking across our kids programs
• Coordinating with coaches and ensuring our weekly rhythm hits just right

This is part educator, part producer, part operations wizard. If you’ve got a love for movement, a sharp eye for detail, and the ability to turn a wild idea into a timeline and checklist — we want to meet you.

YOUR MISSION

Build the systems that make the adventure run — from weekly kids classes to epic parties, every scroll, coach, and curriculum should feel aligned and alive.

WHAT YOU’LL DO

Program Execution & Planning

• Upload and circulate weekly class plans to our ninja coach crew (Jonin, Chunin, Genin)
• Sit in on sessions, track quality, and align lesson flow with the overarching ninja journey
• Coordinate school holiday programs and birthday parties from setup to wrap-up

Skill Passport & Progression Tracking

• Update kids’ Skill Passports weekly (physical and digital)
• Help parents see progress and celebrate milestones
• Work with coaches to identify Rising Ones and potential OCR athletes

Operational System Building

• Maintain our Notion dashboards and Airtable databases
• Update term schedules, coach rosters, and master calendars
• Build lesson templates, cue cards, and coach SOPs

Internal Comms & Parent Updates

• Ensure weekly check-ins with the founders
• Help translate weekly themes and ninja values into simple parent-friendly updates
• Chase follow-ups, close loops, and keep the engine running

• Detail-Oriented Ninja: You notice what others miss and love checking boxes
• Natural Coordinator: You follow up like a pro and aren’t shy to nudge coaches
• Digitally Fluent: You can pick up Notion, Airtable, Google Sheets fast
• ️ Observant & Insightful: You can watch a kids class and know what’s missing
• Bonus Points: Experience in fitness, gymnastics, athletics, drama, or enrichment. Especially with children.
