Job description

Job Duties:

  1. Assist in setting up of the office in Singapore
  2. Handle full spectrum of office administration, facilities, insurance, and vendor management.
  3. Liaise with external vendors including accountants, corporate secretary, lawyers, government agencies etc.
  4. Assisting with Tenancy renewal and rental payments
  5. Monitor costs and expenses for the office management functions
  6. Ensure mandatory filings are timely e.g. ACRA filing, corporate tax filing, etc
  7. Oversee and manage office relocations, renovations, or upgrades
  8. Manage office supplies including stationery and IT equipment (repair and maintenance)
  9. Ensure that all administrative tasks, such as data entry, filing, and correspondence, are completed accurately and efficiently.
  10. Simple accounting duties such as coordinating all monthly company expenditure and payments, general bookkeeping
  11. Liaising with 3rd party payroll vendor to manage payroll, CPF and IR8A, and to assist with Employment pass and renewals
  12. Keeping records of leaves and upkeep staff handbook and business continuity plan
  13. Overseeing the properties, chauffeur of the family and running of personal errands for the family
  14. Other ad hoc duties as assigned

Requirements:

  1. Proven experience as an office manager or similar administrative role.
  2. Prior experience in managing office renovation and document digitalisation is advantageous
  3. Excellent communication and interpersonal skills, both written and verbal
  4. Proficient in Microsoft Office applications and Mac OS
  5. Able to work independently and as a team player when needed
  6. Strong organisational skills and attention to detail
  7. Some familiarity with the rules and regulations applicable to single family offices in Singapore is an added advantage
