Job description

About the Department

We manage and administer real estate-related matters for the Group, including lease management, facilities management, security, and general services.

Job Responsibilities

  1. Oversee the administrative functions of a real estate company, managing daily operations by communicating with stakeholders, maintaining accurate documentation, and leading administrative staff to support operations.
  2. Coordinate with Group Finance and PwC (outsourced bookkeeper) on accounting, financial, and tax reporting.
  3. Prepare budgets for real estate operations.
  4. Report to Group Corporate Real Estate Services (CRES) in Singapore.

Finance Operations

  1. Process invoices, manage vendor relationships, and ensure timely payments (Accounts Payable).
  2. Manage customer invoices, payments, and credit memos (Accounts Receivable).
  3. Monitor loan drawdowns from the Group and payment of interests to onshore lenders.
  4. Assist in preparing budgets and forecasts, analyzing financial data and trends.
  5. Ensure compliance with financial regulations, laws, and company policies, and identify potential risks.
  6. Ensure compliance with company policies.
  7. Coordinate with PwC for accounting and financial reporting, including preparing and distributing financial statements.
  8. Coordinate with the Group for proper approvals before processing payments, using UOBV online BIB.
  9. Provide weekly updates to the Group on activities handled and planned.

Additional Services

  1. Provide basic IT support, troubleshooting, and maintenance of office equipment and software.
  2. Assist with ad-hoc projects such as data analysis, research, and process improvements.
