Job Overview
The Key Account Assistant provides operational and administrative support to the Key Account Manager in managing relationships with major modern trade and online retailers across Singapore. This includes— but is not limited to—chains such as NTUC FairPrice, DFI Retail Group (Cold Storage, Giant, Guardian), 7-Eleven, Sheng Siong, and online platforms like RedMart and Pandamart. The role ensures smooth execution of promotions, efficient day-to-day coordination, and accurate processing of orders for both offline and online retail partners.
Key Responsibilities
1. Promotion Management & Administrative Support
- Assist in the creation, submission, and tracking of promotional listings in retailer and e-commerce portals (e.g., NTUC, DFI, 7-Eleven, Sheng Siong, RedMart, Pandamart).
- Coordinate internally with marketing, supply chain, and finance teams to ensure all promotion details and deadlines are met.
- Maintain and update records of promotion calendars and compile post-promotion evaluations.
2. Retailer & E-commerce Coordination
- Act as a primary contact for operational day-to-day matters with buyers, store, and e-commerce representatives.
- Follow up with retail and online partners on price changes, new product listings, promotional execution, and campaign launches.
- Ensure prompt resolution of any stock, pricing, or delivery issues raised by both traditional and online retailers.
3. Order Management Support
- Input and process purchase orders received from all assigned modern trade and online retail partners, ensuring accuracy of product details, pricing, and quantities.
- Liaise closely with the supply chain team for order tracking and on-time delivery.
- Monitor inventory positions and flag potential out-of-stock risks to the Key Account Manager.
4. Reporting & Documentation
- Assist in preparing weekly sales, inventory, and performance reports across all modern trade and online accounts.
- Gather feedback from store and online platforms regarding promotions and product displays.
- Maintain up-to-date digital and physical account files, agreements, and administrative documentation.
5. General Support
- Support ad hoc projects assigned by the Key Account Manager.
- Help prepare for buyer and platform meetings, compiling relevant sales analytics and presentation materials.
Requirements
- Diploma or Degree in Business, Marketing, Supply Chain, or a related field.
- 1–2 years’ experience in FMCG, retail, e-commerce operations, or account management support. Modern trade and/or online retailer experience are valued.
- Proficient in Microsoft Excel, Word, PowerPoint; experience with online retailer management systems and e-commerce platforms is an advantage.
- Strong organizational skills and attention to detail.
- Effective communication and interpersonal skills across diverse account types.
- Self-motivated with the ability to manage multiple priorities in a fast-paced environment.
