Job description

Production Coordinator

The YST Conservatory Productions team is responsible for organising over 200 concerts and events each year. These events cover a wide range of programmes including concerts, masterclasses, festivals, seminars, symposia and competitions, all of which meet the high standards expected of an internationally renowned conservatoire.

As a Production Coordinator, you will develop expertise in managing the administrative, operational, creative and financial aspects of conservatory-related programming and production. You will play a key role in supporting the team with tasks such as managing the production budget and coordinating the various moving parts that ensure the successful delivery of events.
This position is critical to the smooth planning and execution of performances and events at the YST Conservatory of Music. You will be responsible for liaising with artists, vendors and technical teams to ensure that all production elements - from staging and lighting to sound and multimedia - meet the needs of the event. Your role will involve both office-based administrative tasks and operational planning, as well as hands-on involvement in production set up, troubleshooting and ensuring a seamless onsite event experience.

Key Responsibilities

  • Work closely with the Programming Committee and Artistic Coordinator to produce and deliver in-house programmes at YST.

  • Plan, manage and execute production activities, including administrative and financial matters.

  • Coordinate with venue hirers for external events.

  • Provide additional support for all events, including assistance with set-up, tear-down and piano tuning as required.

  • Coordinate with artists or faculty to understand technical and operational needs.

  • Prepare and maintain essential production documents such as contracts, schedules, layout plans, logistical arrangements.

  • Track production schedules and communicate deadlines to all relevant departments to ensure smooth coordination and completion of tasks.

  • Ensure a safe working environment, regular safety inspections and compliance.

  • Perform any additional duties as directed by the YST management team.

Job Requirements

We are looking for individuals for the positions of Production Coordinator who have a keen sense of aesthetics, knowledge, and appreciation in one or more artistic disciplines relevant to the performing arts. Our current vacancies will require the following:

  • Good understanding of classical music or other relevant musical genres;

  • Degree from a recognised institution in production and/or stage management.

  • 3-5 years' experience in the performing arts industry or similar/related field.

  • General people management skills.

  • Good communication and interpersonal skills.

  • Ability to interpret and communicate ideas and information effectively.

  • Fluent in spoken and written English.

  • Willingness to work as part of a team and take direction is essential.
