Key Responsibilities
Office Operations & Facilities Management
Oversee general office administration and ensure smooth daily operations, including front-desk management, office security, supplies, and maintenance.
Manage vendor contracts and service providers (e.g., cleaning, printing, pantry, courier, stationery, etc.), ensuring quality and cost-effective service delivery.
Ensure workplace safety and health (WSH) standards are met, and lead emergency response planning and compliance.
Plan and manage workspace allocation, renovations, and maintenance schedules.
Procurement and Contract Management
Manage the procurement processes in alignment with NVPC's governance framework.
Assist in preparing RFPs, evaluating vendor submissions, and ensuring timely renewals or onboarding of suppliers.
Maintain and update vendor records, contracts, and operational documentation regularly.
Administrative Support & Process Improvement
Manage records, fixed assets, and general administrative policies and procedures.
Lead continuous improvement initiatives to automate and streamline operations and administrative processes.
Support the development and communication of internal guidelines and SOPs.
Budgeting and Resource Planning
Develop and manage the Ops & Admin budget, ensuring cost control and proper resource allocation.
Track expenses and forecast operational needs in line with NVPC's strategic and operational priorities.
Stakeholder & Team Engagement
Work closely with internal teams to support cross-functional initiatives and improve employees experience.
Provide supervision and guidance to Ops & Admin team member, including performance coaching and work planning.
Qualifications
Degree in Business Administration, Operations, Facilities Management, or related field.
At least 6 years of relevant experience, with 2-3 years in a supervisory or managerial role.
Strong operational management skills, with the ability to implement structured systems and processes.
Excellent interpersonal and communication skills.
Proficient in Microsoft Office Suite; experience with digital tools or automation platforms is a plus.
Self-motivated, organized, and able to manage multiple priorities under tight deadlines.
Familiarity with WSH regulations and procurement practices in a non-profit or public sector setting will be advantageous.
