Responsibilities
Manage and Maintain the Official Register Manage the registration process of postgraduate professional and research students, ensuring the accuracy and currency of the official register.
Organize Matriculation and Registration for Postgraduate Students Coordinate all aspects of postgraduate student matriculation and registration, including managing the matriculation website and content. Collaborate with various departments and units for pre-term activities, arrange logistics, and work with colleagues to ensure the timely preparation of SMU student cards.
Conduct Identity Verification Verify the identity of postgraduate students by cross-referencing identity data with government databases or official identity documents, ensuring the legitimacy and authenticity of all incoming students.
Manage Critical Personal Data Oversee the management of sensitive personal data for postgraduate students, including the development and review of controls to ensure data accuracy. This is essential for accurate statutory reporting and crisis management. Additionally, liaise with students, programme managers, ICA and relevant government bodies to validate immigration passes (particularly student's pass) and ensure compliance with the terms and conditions of these passes.
Manage Student Statuses Administer postgraduate students' term enrolment statuses, such as leave of absence and overseas exchange, along with managing academic records and programme withdrawals.
Information Guide for New Students This consolidates the essential information for new students, collated from all relevant student departments such as Finance, Student Life, Student Wellness Centre, Student Success Centre, etc.
Manage Enrolment in Special Programmes Manage student enrolment in special programmes aligned with the educational strategies outlined in SMU's "Transformative Education for the Next Bound".
Assist with Undergraduate and Non-Graduating Matriculation Provide support for undergraduate and non-graduating matriculation processes as required.
Act as Covering Officer Serve as the covering officer for areas 5-8 during colleagues' absences within the department.
Assist with Registrar Functions Provide support for other university-wide registrar activities, including commencement ceremonies, examination invigilation, and other related duties.
Other duties as assigned.
Qualifications
A degree holder in any discipline.
Minimum of 5 years of relevant work experience, ideally within a tertiary institution or academic environment.
In-depth knowledge of student workflow processes, with a focus on areas such as matriculation, personal data management, and academic records management.
Familiarity with PeopleSoft Campus Solutions is highly preferred, with hands-on experience being a significant advantage.
Exceptional organizational skills and a strong attention to detail.
Dedicated to delivering high-quality customer service with a focus on efficiency and accuracy.
Excellent communication skills, both verbal and written, paired with strong interpersonal abilities.
Proven ability to work independently and collaboratively within a team, adapting to varying work environments and tasks.
