Job Summary:

The Logistics Operations Officer’s primary responsibility is to manage the full scope of air and sea freight forwarding activities. This includes providing sales support, coordinating logistics operations, and overseeing documentation to ensure seamless and efficient processes. The position calls for a detail-oriented, resourceful, and analytical professional with strong organizational, planning, and problem-solving skills, along with effective communication abilities to optimize resources and achieve cost efficiency.

Key Responsibilities:

1. Sales Support:

i. Respond promptly to inquiries, service requests, and order processing, ensuring excellent customer service.

ii. Manage administrative tasks related to purchase orders (PO), delivery orders (DO), and invoice coordination.

iii. Follow up with vendors on order status and estimated time of arrival (ETA).

iv. Assist the Sales team with Requests for Quotation (RFQs) and other related activities.

v. Assist the Sales team with Requests for Quotation (RFQs) and other related tasks.

2. Shipping Coordinator

i. Responsible for all export shipments and liaise with forwarders to arrange transportation.

ii. Prepare all required shipping documents for import and export (air, sea, and road freight).

iii. Handle import and export customs permits.

iv. Work closely with logistics providers and forwarders to ensure timely delivery.

3. Data Management:

i. Maintain accurate and organized documentation, including sorting, filing, and archiving.

4. Compliance & Safety:

i. Ensure adherence to safety, environmental, and regulatory requirements.

ii. Oversee the safe and timely pick-up and delivery of shipments.

5. Administrative

i. Perform general administrative duties and other ad-hoc tasks as assigned.

ii. Provide support to purchasing, administration, or accounts teams when required.

Qualifications & Requirements:

1. Education: Diploma in Logistics, Supply Chain Management, or a related field.

2. Experience: Minimum 2–3 years’ experience in logistics, freight forwarding, or customs operations.

3. Technical Skills:

i. Proficient in Microsoft Office and general computer applications.

ii. Strong analytical, problem-solving, and reporting skills.

4. Work Environment:

i. Able to work effectively in a fast-paced and dynamic office/factory setting.

5. Soft Skills:

i. Detail-oriented with strong organizational and problem-solving abilities.

ii. Excellent teamwork and communication skills.
