Job Description

Job Title: Logistics Coordinator
Reporting To: Senior Logistics Coordinator

About the Role

As a Logistics Coordinator at TOSEVA TIMBER PTE LTD, you will support the daily logistics operations, including inventory control, procurement from local and overseas suppliers, administrative documentation, and delivery coordination. This role requires strong organization, attention to detail, and interdepartmental collaboration to ensure smooth execution across the supply chain.

You will work closely with the Sales, Accounts, Warehouse, and Overseas Suppliers to maintain operational efficiency and ensure timely supply of materials.

Primary Responsibilities

Daily Coordination & Liaison

  • Coordinate with Sales & Project and Finance teams to ensure timely daily deliveries.

  • Arrange material viewings for clients in coordination with Warehouse and Sales teams.

  • Support the preparation and dispatch of product samples and catalogues.

Clerical & Administrative Support

  • Maintain and update records of shipments, stock movements, and sample distributions.

  • Ensure timely data entry and proper filing of logistics documentation.

  • Notify the Senior Logistics Coordinator of low inventory, sample, or catalogue levels.

Procurement & Purchase Orders

  • Prepare and process purchase orders to both local and overseas suppliers, ensuring accuracy and compliance with company procedures.

  • Liaise with overseas suppliers to confirm production timelines, shipping schedules, and documentation requirements.

Marketing Collaterals

  • Assist in preparing and ordering brochures, catalogues, and other promotional materials.

Finance-Related Tasks

  • Raise Expenditure Requisition Forms (ERFs) for payments to suppliers and vendors.

  • Coordinate with Finance and Warehouse to resolve discrepancies in collections and payment matters.

Visual Inventory Management

  • Organize and label inventory material photos for Sales & Project teams’ use in client presentations.

Deliveries & Inventory Support

  • Update Sales & Project teams on indent goods readiness.

  • Monitor inventory to ensure adequate stock for upcoming shipments.

  • Coordinate with overseas suppliers on enquiries, production status, shipment tracking, and related logistics tasks (Ability to read and write in Chinese is essential).

Other Duties

  • Support other logistics-related tasks as assigned by the Senior Logistics Coordinator.

Key Skills & Requirements

Experience & Qualifications

  • Minimum 2 years of experience in logistics, supply chain, or procurement.

  • Diploma in Logistics, Supply Chain Management, or a relevant field preferred.

  • Experience in working with overseas suppliers, import/export logistics, or the material supply industry is an advantage.

Skills & Competencies

  • Strong communication and coordination skills to work across departments and with external suppliers.

  • Accurate record-keeping and proficiency in clerical tasks.

  • Familiarity with inventory systems and ERP platforms (Microsoft Navision experience is a plus).

  • Proficiency in Chinese (written and reading) to liaise effectively with overseas suppliers.
