Job Title: Junior Project Administrator & Coordinator (Potential to be trained into Junior Project Manager - subjected to suitability)

Job Summary:

We are seeking a highly motivated and organised candidate to support the planning, implementation, and monitoring of our projects. The Project Administrator & Coordinator will be responsible for managing project documentation, coordinating project activities, scheduling and facilitating meetings, and providing administrative support to project teams. The ideal candidate will have excellent organizational and communication skills, experience in project administration and coordination, and the ability to work collaboratively with other departments and stakeholders.

Responsibilities:

  • Manage project documentation, including maintaining accurate and up-to-date records and preparing reports and presentations
  • Coordinate project activities, including tracking project timelines and deliverables, and monitoring project progress
  • Assist with budget management and financial reporting for projects
    Monitor project progress payment for both main con & subcon
    Liaise with main con/ client’s QS to prepare claim
    Work with Project team to assess subcontractors’ claim and suppliers’ progress payment
    Work with Accounts Dept to prepare progress claim to main con
  • Ensure that all project activities are conducted in accordance with ethical standards and legal requirements
  • Contribute to project planning and strategy development activities
  • Communicate project updates and progress to stakeholders and project teams

Qualifications:

  • Minimum secondary school leaving certification (N/ O levels)
  • Minimum of 1-2 years of experience in office administration or a related field
  • Familiarity with project management software and systems (Microsoft Office/ OneDrive/ Co-pilot etc)
  • Microsoft Outlook, Excel, Word/ Able to multitask/ Strong attention to detail/ Administrative support/ Customer service, Ability to work independently
  • Strong organisational and time-management skills (ability to multi-task while focusing on time-sensitive matters)
  • Excellent communication and interpersonal skills (Decent command of English)
  • Ability to work collaboratively with other departments and stakeholders (Liaise with suppliers/ main contractors using calls, emails and WhatsApp business)
  • Strong problem-solving and decision-making skills

Once the Project administrator is familiar with the paperwork and shows suitability, we will train the person to become a Project Manager (PM). This PM will be the right-hand man of the Project Director. Its job scope will change, the PM will have to visit sites and meet other stakeholders, both for work and social, which will involve an uptake of new skills and experiences. This position provides room and potential for the suitable candidate to grow professionally. Junior PM 2.5-3.5k (depends on experience); Long-term Senior PM 3.5-5k

Extra Info:

· Mondays - Fridays 8.30am-5.30pm - Office (Flexible work arrangements negotiable such as WFH after probation plus if employee meets certain requirements - feel free to enquire)

· Saturdays 8.30am-12.30pm - Alternate between Office and WFH (discussion with head after confirmation)
