Job description

A reputable Singapore family office, with investments globally, is looking for an Investment Administrative Executive to carry out the following work responsibilities:

Job Description:

Set-up trading, bank & custodian accounts (all markets)

  • Manage the submission of account opening forms, Know-Your-Client (KYC) documentation and annual review, including filing, mailing, updating of changes and record-keeping in shared drive folder;

Investment subscription & redemption

  • Manage the submission of subscription/redemption forms and KYC documentation, including filing, mailing, updating of changes and record-keeping in shared drive folder;
  • Monitor the circulation of announcements, statements, reports and newsletters, and alert the Investment Team to take action as and when required in a timely manner;

Trade settlements & corporate actions (all markets)

  • Issue and follow-up on trade settlement instructions to custodian bank/brokers within stipulated deadlines;
  • Rectify trade orders and resolve settlement issues in the event of trade failures;
  • Monitor corporate actions, AGM announcements and monthly statements, and alert the Investment Team to take action as and when required in a timely manner;
  • Update internal portfolio records (on MS excel) to keep track of trade transactions and balances;
  • Update changes relating to trade settlements (custodian bank, change of authorised signatories, securities settlement instructions, etc.);

Other duties

  • Assist in corporate secretarial duties (update directorships of key management personnel, prepare board resolutions, disclosure of directors’ interests and disclosure of related party transactions etc.);
  • Act as administrator for office door access system;
  • Arrange for courier and mailing of documents; and
  • Execute any adhoc tasks which may be assigned from time to time.

Required qualifications and skills:

  • At least GCE ‘N’ levels;
  • At least 2 years of experience in a similar role in custody services, investment or wealth management environment;
  • Capable of working independently and as part of a team;
  • Results-oriented;
  • Able to complete tasks within deadlines;
  • Strong problem-solving skills;
  • Strong communication and written skills;
  • Strong knowledge of trade settlement process, including securities payment and custodian protocols; and
  • Strong knowledge of MS office and data/record management skills.
