Import Coordination
- Arrange and coordinate import shipments from HQ/origin country to Singapore, ensuring timely and accurate delivery
- Receive and review approved forecast quantities from the Sales Executive; initiate import orders based on these forecasts to ensure optimal stock levels
- Liaise with shipping lines, freight forwarders, and customs brokers for container handling, customs clearance, and import documentation
- Prepare and verify shipping, import, and customs documents in compliance with Singapore regulations
- Coordinate the delivery of goods to the warehouse and manage storage arrangements
- Monitor shipment schedules, resolve delays/issues, and communicate updates to relevant stakeholders
- Plan and coordinate shipments with the internal GST team
- Handle and verify the labeling of imported products
Sales Support & Customer Coordination
- Manage and process sales orders from local customers, including order entry and invoicing
- Serve as the main contact for one or more key customer accounts, overseeing order fulfillment, delivery arrangements, and after-sales support.
- Prepare sales invoices and delivery orders as required
- Liaise with warehouse and logistics teams to ensure timely delivery and stock availability
- Support payment collection and follow up with customers as needed
Cross-Functional & Administrative Support
- Coordinate with internal teams (sales, warehouse, logistics, finance) to ensure smooth end-to-end order and import operations
- Maintain accurate records of shipments, sales transactions, and inventory movement
- Conduct regular inventory checks between the company system and warehouse records
- Generate and report the Weekly Shipment file
- Assist with contract management for logistics and shipping partners
- Prepare regular reports on import status, sales performance, and inventory levels
- Support any other ad-hoc duties as assigned by management
Requirements:
- Diploma or Degree in Supply Chain, Logistics, Business Administration, Business Management, or equivalent
- Minimum 1-3 years of experience in shipping/logistics, or experience in an import & export/trading company
- An added advantage if have FMCG Industry Experience
Skills:
- Microsoft Office, especially Microsoft Excel (Pivot Table, Vlookup, etc.)
- High attention to detail, with the ability to thrive under pressure and manage workload independently
- Possesses strong coordination and problem-solving skills, and is able to multitask and manage time effectively
