Job description

Summary Statement of Job Scope:

Supports the superiors in the full spectrum of HR functions for the company and assist in execution of plans and activities in order to ensure smooth operation of the department.

(A) Main Duties & Responsibilities

General

  1. Place advertisement for recruitment purposes on various channels/medias
  2. Source for more recruitment channels and maintains good working relationship with partners (eg employment agencies, WDA, CDCs etc)
  3. Monitor and timely update of manpower headcount for various departments
  4. Assist in logistics set-up at career fairs
  5. Follow-up on applicants who applied for jobs or have been shortlisted (Outlets & Central Kitchen)
  6. Conducts interviews and follow-up after the interviews
  7. Preparation and update of forms and proper documentation/filing
  8. Maintains proper record of uniforms and alert Manager/Superiors when stock runs low
  9. Ensures sufficient supply of all HR-related forms

Work Passes Matters

  1. Follow-up accordingly on work passes related matters, eg arrangement of medical check up, re-contract, log in MOM/IRAS website for application, renewal, cancellation, send notification etc
  2. Ensure that work passes are returned to Ministry of Manpower (MOM), if any, and follow-up accordingly
  3. Keep track of expiry dates for work passes and notify Department-In-Charge on renewals
  4. Keeps track of work pass quotas and provide timely updates to superiors

Training & Development

  1. Assist in logistics arrangements and coordination work for orientation scheduled
  2. Sourcing of suitable courses for staff (training allocation)
  3. Coordination work and registrations, follow-ups etc
  4. Conducts orientations program.

Payroll Related

  1. Ensures timely completion of salary summaries from various departments
  2. Highlights any discrepancies and alert superiors accordingly
  3. Data entry of commission and timely submission to Superiors and Accounts Department
  4. Data entry of salary figures and timely submission to Superiors
  5. Creates and maintains employee records in HR Software

Administration

  1. Drafting and issue memos for HR-related matters
  2. Modification of existing forms
  3. Preparation of meeting reports
  4. Assist with the annual salary or performance bonus review process and letter preparation & distribution
  5. Maintain employee benefit administration such as leave records, insurance, medical and etc
  6. Translation of documents as and when instructed
  7. Preparation and coordination work for gatherings
  8. Booking of air tickets, when required
  9. Conducts outlet visits as per scheduled

(B ) General Duties and Project Assignment

1. Support to other duties as instructed by direct superior

2. Any other ad-hoc duties instructed by superior or the Senior Management
