Job description

SUMMARY

The HR Executive, provides Human Resources & Administrative support for the CI Office in Singapore. S/he has responsibility in Human Resources, spanning recruitment, staff onboarding/off-boarding, employee benefits, employee relations, training/development. Recruitment includes staff profile setup, maintenance of HR files and folders, as well as work pass application/management for foreigners.

This position does not supervise staff, and the incumbent is expected to work independently on routine job duties.

KEY RESPONSIBILITIES

Recruitment, On/Off Boarding

  • Responsible for recruitment process, including working with hiring managers on Job Descriptions, Job Posting on relevant job portals, Direct Sourcing via LinkedIn (in the absence of suitably strong write-in profiles), candidate shortlisting and review with hiring manager, timely and professional interview management, salary proposals / contract issuance
  • Manages relevant administrative processes related to recruitment such as staff profile setup, maintenance of documents in HR folders, contract renewals, immigration/ working pass applicants/renewals, and ensuring compliance with the Ministry of Manpower & other statutory requirements / guidelines
  • Assists Finance with payroll and related matters
  • Together with management, develop a comprehensive Onboarding process, and conduct New Employee Orientation (NEO) for all new joiners to ensure a positive experience from Day One. Works with hiring managers to ensure a wider orientation program/ meeting schedule is in place
  • Facilitate IT setup and co-ordination for new hires as part of onboarding process, including assisting in general IT enquiries and point of contact for IT-related matters for new hiresEmployee offboarding / exit management

Employee Benefits

  • Undertakes regular review of staff benefits to ensure market competitiveness and alignment with changing statutory provisions. Discusses any proposed changes with the management
  • Ensures new joiners are briefed on their Benefits and the relevant processes involved

HR Support

  • In collaboration with management and supervisors, roll out appropriate training and development programs for staff
  • Facilitate annual HR processes for staff - performance management, annual increment, promotion, etc
  • Provide guidance / advice to supervisors and staff on routine HR processes, systems, procedures and other necessary HR related queries. Where topic is more complex in nature, these are to be referred to the management
  • Support the management in organizing staff engagement activities
  • Support the management in disciplinary and employee relations / grievance issues

PEOPLE AND RESOURCE MANAGEMENT RESPONSIBILITIES

  • Does not directly supervise staff but assists peers and helps direct the work of interns, temporary employees, contractors, or volunteers
  • Not accountable as budget holder

QUALIFICATIONS

  • Bachelor’s degree in any discipline, coupled with 1-2 years of Human Resources experience, including Talent Acquisition
  • Proficiency with MS Office, LinkedIn and MS Office applications
  • Self-starter, organized, good time-management abilities
  • Collaborative, team player who is comfortable working across teams and boundaries
  • Solid written and spoken communication skills (English) and interpersonal skills
  • Results driven, with problem-solving and decision-making ability

ADDITIONAL QUALIFICATIONS

  • Local HR certification would be an added advantage but not a must
