Job Description
Roles and Responsibilities:
1. General
HR Function
- Implementing and managing HR policies and procedures.
- Preparing and processing payroll to ensure timely and accurate salary payments, including commissions, incentives, allowances, and reimbursements.
- Responsible for the submission of statutory CPF contributions.
- Administering and executing a full spectrum of HR processes, including compliance with statutory regulations, employee movements (transfers, promotions, confirmations, resignations), employee benefits, and related activities.
- Conducting performance evaluations.
- Maintaining employee records and updating HR databases.
- Handling new employee onboarding and resignation procedures.
- Managing recruitment processes, including resume screening, interview scheduling, and background checks.
- Coordinating foreign worker applications with agents, including visas and work permits.
- Renewing passports, permits, FOMEMA, insurance, etc.
- Overseeing hostel maintenance, cleanliness, foreign worker records, and ensuring compliance with hostel rules.
- Ensuring staffing requirements are met promptly to maintain operational capabilities and legal compliance.
- Issuing panel clinic medical cards and monitoring benefit usage.
- Coordinating and conducting employee training programs.
- Managing industrial and employee relations matters.
- Preparing memos and announcements.
- Organizing annual dinners.
- Preparing and presenting HR reports to management.
- Implementing company 5S standards.
- Performing additional duties as delegated by superiors or management.
Admin Function
- Confirming and signing purchase orders for stationery, maintenance, and services.
- Managing car service, maintenance, fuel, and toll expenses.
- Coordinating with vendors for procurement and contract renewals.
- Dealing with government agencies regarding licensing, safety, and disposal regulations.
- Maintaining control of storage areas.
- Supervising administrative staff regarding uniforms, badges, lockers, and permits.
- Ensuring security personnel perform their duties efficiently.
- Controlling visitor and hostel in/out records.
- Conducting spot checks on employee hand carries.
- Enforcing company security policies and regulations.
Receptionist
- Supervising the receptionist to ensure efficient handling of external calls and visitor interactions.
2. Liaison with Other Departments
- Coordinating manpower requirements and compliance with company policies across departments.
3. Work Environment
- Supporting the development of positive employee-management relationships and maintaining a grievance-free work environment.
