Reporting to the HR Assistant Manager
Key Responsibilities:
Onboarding & Offboarding
- Coordinate end-to-end onboarding process for new hires, including orientation sessions, documentation, system access and welcome packs
- Ensure new employees have a smooth transition and are well-integrated into the company culture
- Manage the offboarding process including system deactivation, clearance and feedback collection
- Track onboarding/offboarding timelines and ensure proper documentation is completed Training & Development
- Coordinate internal and external training programs, workshops and courses
- Administer training requests, education bonds and monitor post-training commitments. • Manage training grant and subsidy applications (e.g., government or institutional funding). • Track and report training participation and outcomes
Internship & University Engagement
- Build and maintain relationships with local universities and educational institutions
- Coordinate internship programs, from recruitment to onboarding and evaluation
- Represent the company at university job fairs, organise career talks and roadshows to promote internship and graduate opportunities
- Serve as the point of contact for student engagement and career outreach activities. Employee Engagement
- Actively participate in planning and executing employee engagement events (e.g., teambuilding, wellness activities, celebrations).
- Be a cheerful and approachable point of contact for employee interactions and feedback
- Support internal communication efforts that promote a positive work culture
HR Systems & Administration
- Maintain and update global employee records on various HR systems to ensure consistency and accuracy
- Maintain and update HR SharePoint sites and the internal HR web portal to ensure relevance and in accordance to latest policies
- Develop and manage online forms and workflows using Microsoft Forms and other tools
- Maintain organised records of HR initiatives and communications
- Update vendors, insurance providers, service providers such as gym on employee information
HR Analytics & Reporting
- Prepare HR reports and dashboards using Excel (pivot tables, charts, VLookUp)
- Analyse workforce data to support decision-making in areas such as turnover, training effectiveness and engagement
- Assist in tracking KPIs and preparing monthly HR metrics for management
Requirements:
- Degree in Human Resource Management, Business Administration or related field
- At least 2–3 years of experience in a similar HR role, with hands-on training coordination and HR system exposure
- Proficiency in Microsoft Excel (e.g., formulas, pivot tables, charts) and Microsoft Forms. • Experience managing SharePoint or similar intranet platforms.
- Excellent communication and interpersonal skills; positive, bubbly personality and a team player
- Highly organised, detail-oriented and capable of handling multiple tasks and deadlines
