Job description

We are looking for a highly organized and motivated HR Assistant to support our Group HR Team. In this role, you will assist with key HR functions such as work pass management, HR documentation, training administration, and maintaining filing systems. You will also help prepare HR reports, support resignation and termination processes, and provide general administrative assistance to ensure smooth daily operations.

KEY RESPONSIBILITIES
  • Work Pass Administration: Assist in managing work pass applications, security bonds, renewals, cancellations, and related tasks.
  • HR Documentation: Support in preparing HR letters, including appointment letters, confirmations, transfers, and promotions.
  • Training Support: Provide administrative assistance with training applications, registrations, and related tasks.
  • Document Filing and Records Management: Assist in maintaining organized filing systems for recruitment, personnel files, payroll, and other HR documents.
  • HR Reporting: Support in preparing HR reports, including recruitment, payroll, and compliance reports.
  • Insurance Administration: Assist with WICA claims, insurance-related matters, and recordkeeping.
  • Staff Resignation/Termination Support: Provide support with exit procedures, including clearance, exit interviews, and air ticket arrangements.
  • General Administrative Support: Assist with various administrative tasks to ensure smooth daily office operations.
  • Other Ad-hoc Tasks: Provide support for any other HR-related duties as assigned by supervisors.
REQUIREMENTS
  • Minimum of a Diploma, preferably with relevant experience in HR administration or support roles.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Resourceful, independent, and proactive in problem-solving.
  • Strong communication and interpersonal skills.
  • Excellent time management skills and the ability to handle multiple tasks efficiently.
  • Ability to handle confidential information with discretion.
  • Willing to work in the West.
