Job Description
Includes, but is not limited to, the following responsibilities:
HR
- Handle the full spectrum of HR & Admin functions (e.g., recruitment, staff confirmation, performance appraisal management, insurance matters, claims/leave, etc.), ensuring compliance with HR policies and procedures.
- Manage Employee Life Cycle documentation (e.g., new staff appointments, onboarding, confirmation, termination, exit interviews, and new hire orientation).
- Assist with policies, processes, systems improvement, and implementation.
- Coordinate with training providers and handle training administration, including submission of claims for government grants.
- Process staff payroll and ensure timely updates, including new employee creation for payroll processing.
- Monitor foreign workers' overseas leave and process submission of levy waivers.
- Handle monthly CPF submissions.
- Manage annual IR8A submissions.
- Handle IR21 submissions for foreign workers.
- Manage applications, renewals, and cancellations for all work passes.
- Maintain organized and up-to-date employee records within the HR system.
- Stay informed about relevant laws, legislation, and regulations to ensure compliance.
- Participate in planning and coordinating employee relations and engagement activities.
Admin, IT Support, and Shipping Arrangements
- Coordinate with IT vendors for basic IT support, including laptop and network issues, and handle ad hoc inquiries.
- Purchase and maintain inventory of office equipment, stationery, pantry supplies, and manage maintenance contracts.
- Coordinate and maintain records related to staff office space, phones, parking, and road tax.
- Arrange flights and hotel accommodations for staff travel.
- Manage applications, renewals, and cancellations of company work permits/licenses.
- Sourcing construction and office materials.
- Oversee order and delivery management, including import of materials via air/sea freight.
- Issue purchase orders to suppliers.
- Request shipping quotations from freight forwarders.
- Track deliveries and manage supplier/forwarder performance to ensure on-time and intact deliveries.
- Address other HR and admin queries and participate in ad hoc projects or assignments as directed by management.
Requirements
- Minimum of 5 years’ experience in a full spectrum of Human Resources roles.
- Minimum O-Level education or equivalent.
- Strong knowledge of local employment laws and HR practices.
- Proactive with excellent interpersonal and communication skills.
- Meticulous with strong attention to detail.
- Analytical and problem-solving skills.
- Ability to work independently and collaboratively.
- Proficient in MS Office Word, Excel, and PowerPoint.
- Proactive and creative mindset.
- Ability to multitask effectively.
