A leading company in wholesale trade seeks an HR Executive to manage recruitment, payroll, and employee records. The ideal candidate will have a NITEC or Diploma and 2-4 years of relevant experience. Responsibilities include coordinating training programs and ensuring compliance with government regulations.
Responsibilities:
Human Resource
· Execute recruitment process in an effective and efficient way as per the company recruiting standards: posting of job advert to JobStreets, MyCareerFuture and Chinese Newspaper (if any)
· arrange candidates for interviews, prepare employment letters for successful candidates, onboarding orientation program and offboarding for resigned employees
· Purchase yearly job posting credit with JobStreets and monitor each job posting credit deduction
· Be responsible for employee records: storing employee’s correspondence document, increment, warning letters, transferring and resignations of staff in a systematic manner
· Apply/renew/Issuance/cancellation of work passes of foreign employees (WP, SP, EP & LTVP)
· Follow up with exit clearance form for resigned employee, complete offboarding process including payroll calculations, submit IR21 tax clearance for foreigner and cancellation of passes
· Liaise with 3rd party on staff recruitment and salary package
· Manage and process monthly payroll, leave, claims, staff attendance and appraisal via Infotech system
· Processes mid and end month incentives and overtime in payroll system, uploading of payroll to bank for payout on 15thand on month-end
· Generate CPF contribution and submit to CPF Board
· Generate month end report to Finance and Sales Dept separately after month end payroll
· Generate employees’ IR8A and foreigner employees’ IR21 for clearance
· Submit Director Fee S45 twice per year to IRAS, as per finance advise
· Assist on yearly audit check on payroll
· Handle part timer payroll for stickering in warehouse and double digits online event (if any)
· Liaise with managers closely on employees’ confirmation, increment and promotion if any
· Issue yearly Re-Employment letter to employees who are above 63 years old
· Assist to issue yearly contract to all RO (P&G)
· Prepare yearly increment proposal for CEO approval for all departmental proposal and RO (P&G) yearly increment by RO Manager
· Liaise with Insurance vendor on Employee’s yearly renewal on GH&S, outpatient & WICA, and Director’s Family yearly insurance renewal and claims submission
· Ensure & update company policy
Performance Evaluation
· Ensure annual performance dialogue process in place, close annual key rocks by end Sep
· Performance review with managers every 6 months
Government Authorities
· Handle Government surveys and requirements, eg: MOM Quarterly Labour Market Survey
· Coordinate with relevant authorities on NS claim, ML, CCL claim and other grants submission
Training
· Co-ordinate training programs for Warehouse team on WSQ-Operate Forklift Course
· Arrange training venue for employee, submit invoice to finance for course payment
Administrative Support
· Ownership to email invite attendees to a monthly drumbeats meeting/quarterly Talent Council meeting, writing of minutes and distribution to attendees
· Update employee details to Prudential on monthly assist/left employees, claim submission and follow up with Prudential closely on insurance claim status
· Coordinate office activities to uphold cohesive: offsite events, staff engagement events
· Yearly renewal of SFA Certification for office and Food Storage in warehouse
· Yearly renewal of NEA Packaging Report
· Arrange baby gifts for newborn, flowers for customer’s shop new opening and condolences for family members
· Handle building management’s communications, fire drills & monitor warehouses’ activities to be compliant with Mapletree
· Maintain office stationery, pantry supplies, printing name cards & ordering of T-shirts
· Cover Sales Admin during her absence: handle call in customers’ enquiry and documents
incoming/outgoing to Tuas warehouse
· Open letter box to clear letters and bank statement twice per week
· maintain CEO’s room and office cleanliness
· Arrange year end buffet lunch for office and warehouse
