An established industry player in the healthcare sector is seeking a dedicated Office Administrator to support various operational tasks. This role involves managing office logistics, providing administrative support for procurement and finance, and assisting with project coordination. The ideal candidate will have strong organizational skills and a knack for communication, ensuring seamless collaboration across departments. Healthcare Industry
Duration: 6 months subjected to extension
Working Location: One North (Walking distance from MRT)
Working hours: 08.30am – 6.00pm (Monday to Thursday), 08.30am – 5.30pm (Friday)
Job Duties:
Office Administration & Support
· Assist with general office management tasks to ensure smooth daily operations
· Handle asset management matters (e.g. coordinating with IT on laptop assignments, asset tracking and reporting, office printer)
· Provide logistical and administrative support for meeting setups (e.g. room bookings, equipment setup, tea breaks)
· Be the key administrative point of contact for the upcoming office move in August 2025 – liaising with internal stakeholders and managing the move logistics
Procurement & Finance Support
· Process purchase orders (PO) and coordinate invoice tracking and submission
· Provide administrative assistance for incidental expenditure tracking for the office
Project Support and Coordination
· Support the Cluster-wide Agency Spend Review initiative by consolidating data, following up with stakeholders, and preparing summary reports
· Assist with the smooth execution of the Management Associate and Management Executive programs, including interview scheduling, onboarding logistics, and administrative coordination
· Support the roll-out of wellbeing initiatives and management of EDM on viva engage
· Track and support project timelines, follow up on outstanding actions, and help consolidate updates for reporting
Records Management and Ad Hoc Support
· Help with the collation and organisation of HR documents and records for audits and internal reviews
· Participate in department activities or initiatives, including townhalls, well-being events, etc.
Requirements
· Preferably 1-3 years of relevant working experience.
· Project management, ability to support timeline, coordination, internal logistics for office move.
· Organised & reliable.
· Data Analysis
· Communication (clear verbal & written; and good with liaising across Departments)
