Job description

We are seeking a resourceful and responsible HR & Admin Officer / Executive to join our team. This is a hybrid role that offers exposure to both human resource operations and general office administration.

The ideal candidate may not have full experience across all listed responsibilities but should have a strong interest in HR, be open to supporting daily administrative duties, and demonstrate a willingness to learn and grow in the role.

This position offers a valuable opportunity for individuals who are proactive, enjoy multitasking, and are eager to develop their skills while contributing to both people-related functions and organisational support.


Key Responsibilities

Human Resource Responsibilities:

  • Support end-to-end recruitment activities including interview scheduling, candidate coordination, and follow-ups
  • Manage onboarding and offboarding processes including documentation and induction
  • Assist in work pass applications, renewals, and related compliance matters
  • Maintain accurate and up-to-date employee records and HR documents
  • Address employee queries regarding HR policies, leave, benefits, etc.
  • Provide administrative support for staff insurance and benefits
  • Arrange internal and external training programs, including scheduling, registration, and tracking training records
  • Coordinate and support internal events, staff engagement activities, and welfare initiatives

Administrative & Office Support:

  • Manage office supplies and stationery, ensuring adequate stock levels
  • Handle office vendor management, including sourcing, price comparison, negotiation, and coordination of services related to office supplies, equipment, servicing, repairs and maintenance.
  • Liaise with external vendors for office-related services and maintenance (e.g. equipment servicing, repairs, delivery)
  • Ensure smooth daily office operations including courier arrangements, cleanliness, and facility needs
  • Assist with filing, scanning, and document organisation (HR and non-confidential accounting documents)
  • Perform accurate data entry and general admin support as required
  • Assist the Manager with ad-hoc HR and office matters

Requirements:

  • Diploma in Human Resource Management, Business Administration, or related discipline
  • Minimum 1 year of relevant experience preferred (internship experience considered)
  • Strong command of Microsoft Office (especially Excel: VLOOKUP, PivotTable)
  • Well-organised, detail-oriented, proactive, and able to handle multiple tasks efficiently
  • Comfortable managing both HR and administrative duties
  • Strong communication and vendor coordination skills
  • Able to start work immediately or within short notice
