Job description

Job Responsibilities:

  • Maintain and update employees’ personal and leave records, ensuring completeness, organization, and confidentiality.
  • Prepare, compile, and submit monthly and ad-hoc HR reports to the HR Manager.
  • Review and update Time Management System (TMS) reports and overtime requisitions for payroll processing.
  • Monitor employee confirmation timelines and ensure timely performance appraisals are conducted by immediate supervisors.
  • Draft and prepare HR-related documents such as employment contracts, confirmation letters, increment letters, and promotion letters.
  • Assist in planning and organizing company events, staff welfare programs, and employee engagement activities.
  • Coordinate training programs, including sourcing providers and liaising with industry trainers and institutions.
  • Manage the full recruitment cycle, including job postings, candidate sourcing and screening, interview coordination, and selection.
  • Communicate with external vendors and employment agencies as needed.
  • Handle work pass applications, renewals, and cancellations.
  • Provide HR administrative support in collaboration with the HR Manager and other departments.

Requirements:

  • Diploma in Human Resource Management or equivalent, with 1 to 2 years of relevant work experience.
  • Prior experience in verifying time attendance records is an advantage.
  • Strong communication and interpersonal skills.
  • Able to work independently and handle multiple tasks effectively.
  • Good understanding of employment laws, HR best practices, and proficiency in Microsoft Office applications.
  • Able to perform under pressure, meet tight deadlines, and thrive in a fast-paced environment.
