Responsibilities:- Assist with recruitment processes, managing job postings, and arranging interviews.
- Coordinating the induction and orientation for new employees and handling exit clearance procedures.
- Keep track of employees' confirmation and arrange confirmation review in a timely manner.
- Preparation of HR Letters (Employment Contracts, Confirmation, Annual Increment, Promotion, etc.)
- Assisting with payroll processing, benefit administration and maintaining employee records.
- Handle annual staff insurance renewal and insurance claims.
- Responsible for work pass administration such as work pass applications, renewal, cancellation, and issuance.
- Support training and development programs for employees, including include enrolment of internal & external courses, maintaining training record and budget and supporting grant application.
- Maintain accurate HR database and up-to-date employee records.
- Prepare and update various HR reports and organizational chart.
- Organize and support staff welfare initiatives, employee engagement programs, and company events.
- Participate in HR projects and provide any other HR support when required.
- Coordinate with external vendors for the procurement, upkeep, and renewal of office services and supplies.
- Assist in the management of company car lease, tenancy agreements, season parking and related matters.
- Assist business travel arrangement for internal and external stakeholders
- Responsible for office space management, eg. office cleanliness, seating configuration, office relocation, office renovation
- Manage the company phone system, keys management, door access system, IT, and corporate memberships in a structure and organized manner with traceability
- Purchase and replenish of office supplies, pantry refreshment, printing of namecard, gifts, etc
- Key liaison as company fire warden
- Any other ad-hoc assigned.
Requirements :[Must]
- Candidate must have at least Diploma in HR or equivalent
- Candidate must have at least 3 years of experience in human resource role with experience in office administration.
- Understanding relevant labour laws and best practices.
- Able to handle confidential information in a discreet and tactful manner.
- Possess strong interpersonal and communication skills with the ability to work with cross-functional teams and handle multiple tasks.
- Able to work independently and a good team player
- Deadline oriented and keen to learn attitude.
