Responsibilities

  • Interface with stakeholders on office equipment management.

  • Verify claims related to Business Travel.
  • Keep track of vehicle expiry dates and arrange renewals.
  • Handle medical reimbursement claims for employees.
  • Manage corporate insurance matters, including renewals and purchases.
  • Administer claims for work injury and hospitalization.
  • Manage company vehicles' documentation and insurance.
  • Coordinate external staff transport matters and bus transport.
  • Liaise on office equipment for photocopiers.
  • Assist in sourcing company accommodation and managing rentals.
  • Ensure HSE rules are observed and promote a safe work environment.

Description

The Admin Executive is responsible for providing excellent general administration support to both internal and external stakeholders while ensuring the assigned duties are completed on a timely manner.


Responsibilities


  • Interfaces with internal / external stakeholders on the management or upkeeping of office-equipment, service providers, etc.

  • Supports on travel arrangements for Exempt and Management staff.

  • Verifies claims relating to Business Travel and Managerial Transportation.

  • Keeps track of expiry date (e.g. road tax, insurance, VPC, etc.) for company vehicles and to arrange for renewals accordingly.

  • Handles reimbursement claims (mainly medical / hospitalization) for employees and arranges for payments to external stakeholders.

  • Coordinate Corporate and Project Insurance related matters, including yearly renewal exercise, new purchase and endorsement.

  • Manage Work Injury and Hospitalization and Surgical Insurance, including submission of claims and following up of outstanding WICA and H&S cases with relevant external stakeholders.

  • Manage company vehicles’ road tax, VPC, insurance and COE.

  • Responsible for external staff bus transport matters, including yearly renewals.

  • Coordinate and liaise with internal and external stakeholders on office equipment for photocopiers in the office.

  • Assist in company provided accommodation, including sourcing of new accommodation/housing, processing of monthly rental payment and renewal of existing rental contracts.

  • To be proactive in creating a safe working environment for everyone and ensuring that HSE in-house rules are observed at all times.

  • To consider HSE aspects when planning and carrying out tasks to eliminate and reduce HSE hazards, aspects and risks.

  • Other ad hoc duties which may be assigned time to time.


Requirements


  • Preferably Diploma in any field of study.

  • Proficient in MS Excel (e.g. Ability to do pivot tables, v-lookup and formulation).

  • Positive attitude with good interpersonal skills.

  • Ability to work in a dynamic and fast paced environment.
