An established industry player is looking for a dedicated HR Assistant to support various HR and administrative functions. This role involves managing HR documentation, assisting in recruitment, and supporting onboarding processes. The ideal candidate will have a diploma in Human Resources or Business Administration and at least three years of relevant experience. Human Resources Responsibilities:
Assist and manage HR administrative duties in areas of preparation of all HR related letters, insurance, maintaining HR documentation, employment contracts aligned with regulations, company policies and procedures, etc.
Assist in the recruitment process, including posting job ads, screening resumes, coordinating interviews, and conducting reference checks.
Assist and support onboarding and offboarding activities for new employees, including documentation, orientation, and induction.
Assist in updating employee records in HRMS (Human Resource Management System) or other databases.
Assist in managing employee benefits programs (health, insurance, leave policies, etc.).
Assist HR manager to prepare insurance claims (Workmen Compensation, Hospitalization).
Assist in applying for work pass applications, renewals, and cancellations.
Assist in submission of training grants/internship programs for the company if needed.
Assist and prepare HR-related reports and maintain HR files and documentation.
Perform other HR functions and ad-hoc assignments or duties as assigned by management.
Administrative Responsibilities:
Perform other general administrative functions and ad-hoc assignments or duties as assigned by management, not limited to: proper documentation and filing, reception duties, coordinating appointments, handling travel arrangements, setting up meeting rooms, etc. as needed.
Educational Requirements:
Diploma in Human Resources, Business Administration, or equivalent.
At least 3 years of working experience in the related field is required for this position.
Excellent interpersonal and communication skills, with the ability to handle complex situations with sensitivity and professionalism.
Resourceful, meticulous, independent, and a team player.
Able to multi-task and handle a wide spectrum of responsibilities.
Good knowledge of HR policies, labor laws, and office administration practices.
Excellent organizational, multitasking, and time management skills.
Good communication skills, both written and verbal.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Able to start immediately or on short notice.
