POSITION TITLE: HR AND ADMIN EXECUTIVE

EMPLOYMENT TYPE: FULL-TIME POSITION

Join WINGS THERAPY AND LEARNING CENTER (WINGS)– Singapore’s first and only intensive therapy centre for babies, children through to young adults. We are looking for a proactive, passionate and detail-oriented HR & Administrative professional to support the management of the HR and Administrative Department. This role encompasses the full spectrum of HR duties and general administration to ensure smooth and efficient daily operations.

KEY RESPONSIBILITIES

Human Resource Operations

  • Oversee the entire employee lifecycle: onboarding, orientation, confirmation, and offboarding.
  • Provide guidance and support to employees on HR-related queries, concerns, and grievances.
  • Maintain and manage accurate employee records, including database management and personnel files.
  • Assist in performance evaluation coordination and employee confirmation processes.
  • Support employee engagement and welfare initiatives.

Recruitment & Onboarding

  • Manage the end-to-end recruitment process: job posting, candidate screening, and interview coordination.
  • Coordinate onboarding logistics such as welcome kits, IT equipment, centre tours, and introductory sessions.
  • Work with educational institutions to coordinate internship programmes.

Payroll & Statutory Compliance

  • Prepare and process monthly payroll in an accurate and timely manner.
  • Ensure timely submission of statutory filings: CPF contributions, IR8A forms, etc.
  • Administer government claims (e.g. NSmen make-up pay, maternity/childcare leave, and other statutory benefits).
  • Oversee and manage staff leave planning to ensure minimal operational disruptions.

Grants & Programmes Management

  • Manage Career Conversion Programmes, e2i Grants, Place and Train Programmes, and other relevant hiring or training grants.
  • Ensure grant compliance and timely submission of documentation.

Work Pass Administration

  • Handle all aspects of foreign employee work passes: applications, renewals, cancellations, and compliance with MOM regulations.

Insurance & Work Injury Claims

  • Administer staff insurance coverage: enrolment, renewals, and benefits communication.
  • Manage work injury compensation claims in accordance with regulations and company policies.

Employee Event Engagement

  • Support the planning and coordination of company events, team bonding sessions, and annual gatherings.
  • Perform general administrative tasks and other ad-hoc duties as assigned.

Centre Operations & Administrative Support

  • Daily Operational Readiness: Conduct daily walkthroughs to ensure the centre is clean, safe, and fully prepared for operations.
  • Vendor & Cleaning Management: Supervise external cleaning vendors and on-site cleaners to maintain high standards of hygiene across all areas of the centre.
  • Supply & Inventory Oversight: Manage inventory and procurement of therapy materials, cleaning supplies, pantry items, and office essentials to ensure uninterrupted operations.
  • Facility Coordination: Liaise with building management on matters such as lift maintenance, facility repairs, and general upkeep to maintain a safe and functional environment.
  • Cross-Departmental Support: Work closely with internal teams, especially the Patient Care Department, to provide administrative assistance in patient-related duties and overall centre coordination.

IDEAL CANDIDATE PROFILE:

  • Diploma/Degree in Human Resource Management, Business Administration, or equivalent.
  • At least 2 years of experience in a similar HR/Admin role.
  • Familiar with Singapore employment laws, payroll processes, and MOM regulations.
  • Strong organisational skills with the ability to multitask effectively.
  • Excellent interpersonal and communication skills.
  • Proficient in Microsoft Office and HR-related software.
