Manage recruitment/hiring processes including interview, reference checks, execute employee on-off boarding, new hire orientation, etc.
Support HR-related events, staff welfare activities and office administrative matters including but not limited to door access cards, documents, uniforms, lockers, etc.
Prepare employment contracts, staff confirmation, promotion, acknowledgement resignation letters and other HR-related letters.
Update/check Time Management System (TMS) reports and overtime computation for monthly payroll processing.
Maintain employee records including P-file, HRIS system, TMS reports and ensure all HR documentation is up-to-date and compliant with legal requirements.
Manage one entity for Administration and Payroll.
Manage the work passes application, renewal and cancellation.
Assist with HR administration and other ad-hoc tasks as required.
Administration:
Arrange monthly management and sales meeting and send calendar invite.
Manage servicing and maintenance of office equipment, e.g. corporate mobiles and landlines, fibre broadband connection of 2 stores, photocopiers, office air-con, water dispenser and filters, office phones, etc.
Initiate and follow-up with application and renewal of tied-up programs with counter parties, Instalment Payment Plan (IPP) plans with banks.
Monthly printing, laminating and cutting of marketing materials for both stores.
Keeping stock of stationery, distributing to colleagues as required. Monthly replenish stationery orders for 2 stores.
Keeping stock of staff uniforms, safety boots, coveralls and replenish order from regular suppliers and out-source to new suppliers.
Keeping stock of disc Decal, Kato printing ribbons and replenish with new orders.
Administrative and business support to CEO/CFO.
Other tasks may be assigned as necessary according to organizational needs.
