Job Responsibilities

Receptionist Duties

  • Answer and direct phone calls appropriately.
  • Greet external visitors, determine access rights, and guide them to the relevant employees.
  • Sort, distribute, and open non-confidential departmental mail.
  • Record outgoing mails, parcels, and documents.
  • Analyze incoming mails, faxes, and reports to determine their importance and distribute accordingly.
  • Send invoices to customers via email.
  • Order and send out calendars, greeting cards, and name cards.
  • Manage office door access cards, including issuance, collection, and photographing new employees.
  • Conduct periodic office inspections and report repair or maintenance needs quarterly to vendors and process owners.
  • Screen visitors effectively.

Office Administrative Duties

  • Maintain adequate office supplies following procurement procedures.
  • Handle billing and invoicing: prepare purchase orders, process payments, and keep accurate financial records related to HR and admin.

HR Coordination Duties

  • Provide travel advisories to staff.
  • Perform other administrative duties as assigned.

Job Requirements

  • Proficient in English, both written and spoken.
  • Good numerical skills.
  • Well-groomed with a friendly demeanor.
  • Team player with a positive attitude and strong interpersonal skills.
  • Excellent communication skills and customer service orientation.
  • Proficient in Microsoft Office (PowerPoint, Excel, Word) and IT-savvy.
