DUTIES AND RESPONSIBILITIES
Managerial / Supervisory Duties
- Review all pre-admission referral cases together with the Case Team for suitability of the child to be enrolled in Darul Ihsan (Boys’) Home
- Make informed recommendations to DI Executive Committee (DI Exco) on whether to accept or reject pre-admission referral cases based on suitability
- Assign Welfare Officers to incoming new wards based on their experience and capacity to manage them
- Supervise both the duties of Welfare Officers to ensure that they follow through with given tasks to achieve the Home’s objectives
- Assign secondary duty portfolios to Welfare Officers based on assessment of their strengths and experience
- Ensure that the duty roster for Welfare Officers on shift hours is planned well ahead to meet the minimum staff to resident ratios at all times
- Search and recommend relevant training courses for Welfare Officers to ensure they meet the MSF licensing requirements
- Participate in training to develop skills necessary to provide the best support and improve and maintain knowledge and skills
- Encourage ideas and suggestions for continual work improvements
- Discuss and brainstorm for solutions to common problems
- Proactive involvement in Conflict Management amongst Darul Ihsan staff and residents
- Ensure that all staff members are understand and execute the legal requirements in relation to the administering and custody of residents
- Form effective working relationships with all MTFA employees
- Strive to develop and maintain good rapport with all staff members by listening to and considering their suggestions and complaints and respond appropriately.
- Maintain the respect and loyalty of staff
Resident Matters
- Ensure the health, safety, and well-being of the residents in the Homes
- Help create a caring and supportive environment, which promotes the spiritual, physical, emotional, and cognitive (SPECs) development of the residents
- Ensure the maintenance of the highest standards of care that are consistent with MSF’s requirements
- Liaise effectively and professionally with all external stakeholders associated with resident care
- Ensure that all incidents (and associated injuries, if any) are documented and reported in accordance to DIO’s Incident Reporting SOP
- Protect the right and interests of the residents by guiding Home staff to treat each person as an individual, supporting their rights and respecting and promoting (where appropriate) their views and wishes
- Promote active community participation and ensure that residents have opportunities to make positive contribution to our local community
- Share non-confidential information and provide advice to families and caregivers to assist in improving family relations towards reintegration
Administration
- Liaise between all relevant authorities and Home staff to ensure all regulatory standards are met and maintained at the Home, including:
> Health and safety standards
> Record-keeping
> Personal data and confidentiality
> Other relevant SOPs
- Adhere to all of MTFA’s policies and procedures
- Work within budget and develop clear policies and practices and ensure that financial compliance is always adhered
- Understand the budget constraints and ensure that the Home is managed within budget ensuring the most effective use of resources.
- Report to the Executive Director on capital works or major refurbishment requirements for the Home
- Liaise with Estate officers to ensure all Home maintenance work is performed dutifully within budget
- Preparation of Annual Budget, Monthly Reports & Annual Report for the Home Department
Other Duties
- Provide support & guidance to the Education Sub-Dept & Case Work Sub-Dept
- Carry out all the duties commensurate with the general level of responsibility for the post.
- Requires the ability to deal with people beyond giving and receiving instructions. Must be able to perform under stress or when confronted with emergency situations or tight deadlines.
- Maintain high standards of accuracy in exercising duties and responsibilities. Exercise immediate remedial action to correct any quality deficiencies that occur in areas of responsibility.
- Regularly seek new and improved methodologies, policies and procedures for enhancing of duties and responsibilities; must not be adverse to change.
- Support MTFA / Darul Ihsan in all events/functions
- Perform any other duties assigned by the Executive Director or DI Exco
