Job description

What you'll be doing

  • Provide executive-level support to the Executive Director, including complex calendar management, meeting coordination, and travel arrangements

  • Serve as the primary liaison for internal and external stakeholders, managing communications with professionalism and discretion

  • Coordinate and track key strategic initiatives, ensuring timely follow-through and alignment with institutional goals

  • Prepare high-quality briefing materials, presentations, reports, and talking points for internal and external engagements

  • Oversee the smooth operations of the leadership office, including documentation, correspondence, and meeting logistics

  • Lead and manage special cross-functional projects, ensuring timely and effective execution in collaboration with relevant departments

  • Draft and review internal communications, maintaining alignment with organisational values and direction

  • Facilitate high-level leadership meetings, track key action items, and follow up on execution

  • Consolidate and analyse data to generate reports and dashboards for senior management and board updates

  • Support performance monitoring efforts by coordinating inputs on institutional KPIs and reporting to relevant authorities

  • Coordinate engagement activities with partners, donors, government bodies, and external collaborators

  • Provide flexible support across leadership office functions, contributing to broader organisational needs

  • Maintain a high level of professionalism, confidentiality, and service excellence in a dynamic and mission-driven environment

What we're looking for

  • Bachelor Degree level in Healthcare Administration/ Business/ Communications or related studies

  • 8 - 10 years of relevant experience, including direct support or administrative leadership for senior executives within healthcare industry

  • Demonstrated ability to manage complex calendars, confidential correspondence, and high-level coordination with sound judgment

  • Strong strategic thinking and organisational skills; able to prioritise and manage multiple deadlines efficiently

  • Excellent written and verbal communication skills; adept at preparing executive-level documents and presentations

  • Strong interpersonal skills with proven stakeholder engagement experience across diverse internal and external groups

  • High level of professionalism, emotional intelligence, and a proactive, service-driven mindset

  • Proficient in Microsoft Office; familiarity with multiple tools such as Teams, SharePoint, Canva, Adobe Suite, Lucidchart, or generative AI tools is advantageous

  • Self-motivated and adaptable; able to work independently in a dynamic, fast-paced environment

  • Demonstrates integrity and discretion in handling sensitive and confidential matters
