Job description

Reports to: CEO

Direct reports: BFS procurement team

Location: BFS Pandan Loop

Main Duties & Responsibilities

1. Staff management and development

  1. Recruit new team members who have the required skills, appetite to learn and enthusiasm for the contribution the procurement team makes to the business.
  2. Provide guidance, one-to-one mentoring and support to the team, ensuring that they have the tools, skills and development opportunities they need to be successful in their roles.
  3. Maintain a team structure and position descriptions that delivers a responsible and accountable team environment.
  4. Develop and implement appropriate KPIs for the team and manage team members to these KPIs.
  5. Develop a positive and productive performance culture where employees receive constructive feedback, are recognised for results achieved and supported where improvement is required.
  6. Identify high performers and maximise development opportunities for them.

2. Category Management

  1. Lead the Procurement team to execute the strategic procurement and category plans.
  2. Provide insights to sales & management teams on market trends, pricing and industry developments to make informed decisions about supplier selection and negotiation.
  3. Work closely with BDM’s to jointly develop the procurement plan in line with the category strategy and agree/execute stock management and purchasing requirements.
  4. Implement product range ladders that ensure the necessary products for market requirements are ranged, and minimise duplication. Show clear ranging strategy planning in product selection.

3. Supplier Management

  1. Support the procurement team to build relationships with suppliers in a way which maximises the benefit to Bidfood, but also unlocks value for supplier partners.
  2. Maintain a direct involvement in the relationship with key suppliers across all categories; alongside procurement team.
  3. Negotiate with suppliers for favourable payment, marketing fund and rebate terms, developing procurement managers to do this also.
  4. Negotiate aggressively but fairly to achieve the best possible purchase price for Bidfood.
  5. Ensure that regular two-way reviews are conducted with key suppliers, and that follow up action plans address both Bidfood and the suppliers’ concerns. Ensure that sales, shipping inventory & logistics team feedback is incorporated into these reviews.
  6. Work with the QA team to ensure suppliers meet Bidfood policies and practices and comply with all relevant legislation.
  7. Where this is not the case work with the supplier to resolve issues, and if unsuccessful, negotiate and exit supply with minimal business disruption.

4. Replenishment & Inventory Management

  1. Lead the purchasing team to achieve optimal inventory performance.
  2. Minimise product out of stocks.
  3. Achieve target inventory levels & stock cover.
  4. Minimise SLOB stock write-offs.
  5. Co-ordinate & consolidate sales team forecasts for high volume products, merging with historical sales for demand planning.
  6. Maximise supplier DIFOT.
  7. Develop KPI’s for all inventory related measures, and regularly report on progress and achievement regularly.
  8. Ensure a robust & early advisement process is in place for slow moving & short shelf-life items to clear stock before expiry dates through focussed activities with target customer channels.

5. New Product Sourcing

  1. Identify and evaluate potential suppliers or vendors to ensure they meet quality, cost, and delivery requirements.
  2. Play a lead role in identifying new product/category/supplier opportunities and develop business plans & presentations to develop these opportunities into viable new business.
  3. Work hand in hand with BPC team to identify opportunities to partner with BPC for strategic sourcing benefit.

6. Best practice development

  1. Work alongside project teams to implement technology and systems that drive best practice in all aspects of the procurement process.
  2. Forecasting from sales team and demand planning.
  3. Buying and ordering to best balance stock levels (stock turn and out of stocks).
  4. Supplier and customer price management.
  5. Maintenance of master files.

7. Sales engagement and Tenders

  1. Support the Sales team in the preparation and submission of tenders to key accounts.
  2. Work with the Sales team to align procurement initiatives, such as key supplier partnerships, with our offer to key customers.

8. International relationships

  1. Build relationships with the procurement teams in other group companies; to share best practice, and to learn from each other.
  2. Identify opportunities to leverage the group’s volume and reach, noting that it is the group’s preference to do this via BPC where possible and practical.

9. Cross-functional Collaboration

  1. Work closely with various departments, such as marketing, sales, supply chain, and finance, to achieve category and business plan goals and objectives.
  2. Participate actively as a key member of the Bidfood Head of Departments management team to deliver the overall business objectives for sales, EBIT, working capital and ROFE.
