A leading organization dedicated to providing holistic residential care for adults with disabilities seeks a Head of Operations. This role requires extensive experience in managing large-scale operations and multi-professional teams. The successful candidate will oversee all operational aspects, ensure quality service delivery, and maintain adherence to established policies and guidelines. Ideal applicants will have strong leadership skills and a background in Occupational Therapy.
Primary Objectives of Position
Lead, manage and work with a multi-professional team to ensure holistic residential care for adults with physical/multiple disabilities through maintaining programme excellence through development, efficient programme delivery, upkeeping quality control and periodic reviews to anticipate evolving needs/trends.
The Head will be required to manage the following teams (list non-exhaustive): Admin & Operations, Programmes, Nursing, Staff Matters and Social Work, to co-curate and implement guidelines, systems and procedures to ensure adherence to policies and regulations, in alignment with the Adult Disability Home (ADH) framework and larger AWWA organisational mission
Job Responsibilities
Coordination and management of the Home’s operations, medical, financial, and maintenance aspects. This includes adherence to service and finance audits, through solid management of the Home’s policies, systems and finances.
Work with the Lead, Programme or therapists to oversee the implementation of individual support and behavioural plans based on their unique and diverse needs. This includes ensuring consistent interaction with the Lead, Community Engagement in consultation with the AWWA Community Partnership and Corporate Affairs teams to ensure there is a steady pipeline of donor and community initiatives.
Work with the Lead, Admin & Operations to ensure that logistics, procurement, facilities and maintenance and administrative needs of the Home are sufficiently met in a timely manner.
Work with the Lead, Social Work and Head of Registry to ensure efficient and effective case management of clients (spanning from pre-admission to post-discharge), in adherence with existing policies (e.g. means-testing, financial hardship support).
Work with the Lead, Nursing to ensure that robust records of medical conditions are maintained and documented so that the most appropriate and relevant service is rendered to clients.
Work with the Lead, Staff Matters to keep updated on employees’ needs and issues so that solutions can be co-created in an efficient manner.
Work with the different team leads to interview, hire, evaluate and maintain proper training and development of staff, based on operational needs and constraints.
Work closely with the Head of Day Activity Centre (DAC), Lead, Social Work and Lead, Admin & Operations in consultation with the Head of Adult Disability Services, to support the client management, service delivery and facilities needs of the DAC, as needed.
Create strong team-based cultures within staffing groups by way of establishing team norms, goal planning, regularly planned meetings, effective communication strategies and conflict resolution skills.
Coordinate and facilitate communication for interdisciplinary team members within the Home, and act as the primary external partnerships community liaison (e.g. Home representative when interacting with community partners like Town Council and grassroots organisations).
Establish holistic service standards to ensure good rapport and service delivery to clients, volunteers, donors, external voluntary and government agencies and the wider community.
Ensure that consistent efforts are made to gradually achieve the long-term outcomes of the Home (for clients to age in place with independence and as valuable members of society within the home and/or within their familial homes with their family members)
Requirements
Minimally a Bachelor’s Degree (preferably in Occupational Therapy)
At least ten years of working experience of which at least six years must have been spent leading large scale operations (leading a team of over 150 employees) or a residential care facility
At least six years of supervisory experience
Must be comfortable leading multi-professional teams with different expertise, including leading teams of non-executive staff
Experience in working with adults with additional needs will be favourable, though not crucial
High levels of ethics and adherence to policies and procedures
Sound financial sense – Experience in managing large budgets and experience in supporting programme and financial audits
