We are now inviting passionate and experienced professionals to join our dynamic team as Head of Fund Operations.

Job Summary

The Head of Fund Operations provides overall leadership and management oversight for the firm's custody, corporate trust, and fund administration services. This role requires strong leadership, analytical skills, and deep knowledge of financial markets and regulations to ensure the smooth and efficient operation of investment funds and the proper and compliant performance of all regulated activities, mitigating operational risks. The Head of Fund Operations will also develop and maintain a high-performance team while ensuring a strong ethical and professional culture.

Key Responsibilities

1. Operational Management & Oversight:

  • Provide overall management oversight of service delivery across the custody, trustee (unit trust), and fund administration teams in Singapore, Malaysia and Hong Kong.
  • Facilitate a successful transition during client onboarding. Oversee and communicate operational memorandums and SLAs.
  • Oversee daily operations including net asset value (NAV) calculation, accounting, cash management, and processing capital calls and distributions, including business continuity, governance, and compliance.
  • Develop, implement, and monitor policies, procedures, and organizational structures for the efficient operation of all services.
  • Review and ensure the adequacy and effectiveness of internal control systems.
  • Review and manage the sub-contractors, vendors and other third-party service providers.
  • Identify critical systems and ensure adequate recovery time and business continuity arrangements are in place for all functions.
  • Ensure the delivery of high-quality service levels that meet all contractual and fiduciary responsibilities and requirements.
  • Act as the senior point of escalation for clients.

2. Risk & Compliance:

  • Ensure full adherence to audit and regulatory requirements, including internal & external audits and MAS Notices, such as SFA04-N02, SFA13-N01, and TCA-N03.
  • Oversee due diligence for all customers, connected parties, and beneficial owners.
  • Guard against any transactions that may be connected with or facilitate money laundering or terrorism financing.
  • Draft, maintain policies and procedures to ensure adherence to AML/CFT regulations, PDPA, TRM guidelines and other regulations as applicable.
  • Promote and enforce a culture of high ethical standards.

3. Leadership & Development:

  • Manage, lead and motivate the custody, corporate trust, and fund administration teams.
  • Oversee the training, development, and evaluation of all staff to develop high performing teams.
  • Develop and execute growth plans while optimizing team structure and efficiency.
  • Provide support and guidance to the team to minimise staff turnover.
  • Strengthen oversight of employees to mitigate operational risks.

4. Service Excellence:

  • Actively work to deliver and uphold excellent client service to maximise client retention.
  • Collaborate effectively with the various departments in the Group to optimize service delivery.
  • Keep abreast of industry trends and developments.

Qualifications & Requirements

  • 15+ years in fund administration with proven experience in a senior leadership role within fund accounting, custody, corporate trust services and transfer agency services.
  • In-depth knowledge of the net asset value calculations for different fund structures, such as limited partnerships, VCCs, with various investment strategies.
  • Strong understanding of financial regulations, particularly Singapore and Cayman Islands regulations.
  • Demonstrated experience in developing and implementing operational policies, procedures, and internal controls.
  • Excellent leadership, team management, and staff development skills.
  • Strong ability to communicate with senior-level clients and internal stakeholders with experience in working with global clients and familiarity of international financial standards and industry practices.
  • Proven track record of the ability to ensure adherence to audit and compliance standards, including ISAE3402, ISO270001, AML/CFT and PDPA.
