This role is crucial for managing infrastructure and ensuring the operational excellence of diverse real estate facilities supporting pharmaceutical distribution. The ideal candidate should have a strong background in facilities engineering, leadership, and project management.

Purpose of the Role:
The Head of Facilities is responsible for establishing and enforcing comprehensive standards, policies, procedures and guidelines for the optimal management of the company’s real estate portfolio, maintenance and operation of the company's diverse infrastructures, including offices, warehouses, cross-docks, and other logistics facilities across the enterprise, as well as the program management of real estate related capital improvement projects in the region.
This role is critical to ensuring that all facilities support the seamless distribution of pharmaceutical products through efficient engineering and robust maintenance practices.
Expectations of the Role:
Policy Standardization and Development:
Develop and implement standardized policies and procedures for the maintenance and upkeep of all company facilities, ensuring consistency and quality across locations.
Establish guidelines for the operation and maintenance of critical systems, emphasizing safety, reliability, and operational excellence.
Develop Facility Management & Engineering Site Manuals that incorporate both standard procedures and country/site specific considerations (e.g. adherence to local regulations, customer requirements)
Infrastructure Maintenance and Improvement:
Oversee the upkeep and repair of all utilities equipment, with a focus on essential temperature-controlled facilities to ensure the integrity of sensitive pharmaceutical products.
Lead initiatives for continuous improvement projects, enhancing the infrastructure's efficiency and responsiveness to business needs.
Establish a work order management system linked to building equipment with a reporting dashboard
Equipment Management:
Manage the maintenance of material handling equipment, such as forklifts and Very Narrow Aisle (VNA) machines, ensuring they operate safely and efficiently.
Supervise the upkeep and functionality of automated warehousing systems to optimize storage and retrieval operations.
Expand work order management system to include material handling equipment and automation system
Vendor Selection and Management:
Establish and manage relationships with vendors, selecting partners that meet the company’s standards and contribute to cost-effective and efficient service delivery.
Oversee contract negotiations and performance evaluations to ensure services align with business objectives and fiscal policies
Identify opportunities to consolidate vendors for more effective performance management
Implement frame contracts with KPI linked fee structures
Facilities Engineering and Additional Responsibilities:
Implement best practices in facilities engineering, including sustainable and energy-efficient measures to reduce environmental impact.
Coordinate with cross-functional teams to align facility operations with broader business strategies, ensuring facilities enhance productivity and support organizational goals
Resource Management and Controls
Propose regional engineering budgets and resource allocation
Review and approve market budgets and resource allocation
Monitor efficient and effective use of budget and resources
Real Estate Strategy and Transaction Management
Define real estate strategy to support delivery of business operational strategy
Provide governance for real estate transactions
Define go to market strategy for transactions (broker partners and strategic landlord partners) to optimize company buy
Construction and Program Management
Develop and manage real estate programs within the region.
Steer and manage projects to optimize benefits to the company
Develop construction and fit-out standards
Portfolio Management and Data Integrity
Develop and maintain property database
Develop and maintain KPIs for real estate performance
Attributes Required:
Must-Have
A degree in Engineering, Facility Management, Architecture, or a related field is essential. This provides foundational knowledge in engineering principles, design, and facility management practices.
At least 10 of relevant facilities engineering experience, with a strong background in managing complex facilities across multiple locations, preferably in the pharmaceutical or logistics sectors.
Demonstrated experience in a senior managerial or leadership role, managing teams of engineers and technicians, and overseeing facility operation
Advantage to Have:
Knowledge of Building Systems: In-depth knowledge of mechanical, electrical, and plumbing (MEP) systems, as well as familiarity with automated warehouse systems and material handling equipment.
Project Management: Experience with project management methodologies and tools to oversee facility improvement projects effectively.
Regulatory Knowledge: Familiarity with industry regulations, health and safety standards, and compliance requirements specific to the pharmaceutical sector.
Leadership and Communication: Strong leadership capabilities, with excellent communication skills to interface with cross-functional teams and external stakeholders.
Problem Solving and Strategic Thinking: Ability to analyze complex problems, develop innovative solutions, and make strategic decisions that positively impact facility operations.
