An established industry player in the healthcare sector is seeking a Grants & Admin Executive to provide vital secretariat support. This role involves managing grant applications, ensuring compliance with funding guidelines, and coordinating logistics for research events. Grants & Admin Executive (Secretariat Support)
Healthcare Industry
Duration: 6 months (Maternity Cover)
Working Location: Kent Ridge HQ (Walking distance from MRT)
Working hours: 08.30am – 6.00pm (Monday to Thursday), 08.30am – 5.30pm (Friday)
Job Responsibilities
Grants management
· Identify and disseminate relevant funding opportunities
· Assist faculty and researchers in identifying and applying for research grants
· Coordinate and review grant proposals to ensure completeness and compliance with funding guidelines
· Prepare budgets and financial projections for grant applications
· Manage post-award grant administration, including financial tracking, reporting, audits, contractual matters, tracking research outputs, and compliance with funding requirements
· Ensure adherence to institutional and funder policies, including ethical and financial guidelines
· Liaise with internal stakeholders (finance, HR, procurement) and external funding agencies
· Report preparation
Administration
· Organise and schedule meetings, liaising with speakers and participants to confirm dates, times, and agendas, follow up on outstanding matters
· Coordinate logistics for research-related events, workshops, and grant-related briefings.
· Prepare and circulate publicity materials, announcements, and event invitations.
· Handle travel arrangements, accommodation, and honoraria for invited speakers and/or Department’s academic visitors
· Support internal and external communication efforts, including drafting emails, newsletters, and reports.
· Any other tasks delegated by DOA and/or HOD DFM to support the smooth operation of the department.
Job Requirements
· Min. Degree holder with about 1 year of working
· Grant management: pre-award, award, post-award;
· General administration, including liaising to support academic visitors;
· Secretariat support for meetings, collation of agenda, materials, follow-up on outstanding items
· Excellent communications skills
· Proficiency in Microsoft Office (e.g. Word, Excel, Ppt, Outlook)
