A prestigious hotel in Singapore is looking for Administrative Support in the Food & Beverage department. This role involves maintaining operations and communication, handling sensitive information, and supporting the Director of Food & Beverage. Job Summary:
In this role, you will be providing administrative support to the Food & Beverage department of the hotel and report to the Director of Food & Beverage.
Duties & Responsibilities:
Maintains the standards of performance as detailed in the Departmental Operations Manual to ensure the efficient operation of the department in accordance with Hotel Policy.
Implement and update the systematic filing system for all food & beverage records.
Maintain ambassador details on file, including contact details, vacation plan, and PH balances.
Maintain all details related to the joining date of new team members.
Co-ordinates with colleagues whenever necessary regarding operational problems.
Participates in regular meetings and briefings as may be scheduled and takes notes to be documented and filed.
Review the status of work and follow-up actions required with the Director of Food & Beverage on a daily basis.
To handle confidential and classified material and ensure to keep the code of confidentiality at all times and maintain professional office etiquette and discretion.
Establish and maintain professional and effective communication channels within the Food & Beverage Department and the other departments.
Record office equipment, forms, stationary and other supplies required for use by the Food & Beverage Department
Understands and abides by all safety rules, emergency procedures and fire prevention regulations.
Maintains all documentation related to Food & Beverage audits.
Participate in any scheduled training and development program that may improve personal or departmental standards.
To provide paperwork for any requisition within the hotel such as: Purchasing requisition and work order for all outlets.
Handle all correspondence and filing in the Food & Beverage office.
Maintain and manage the daily appointment on behalf of the Director of Food & Beverage.
Arrange/take minutes in all Food and Beverage-related meetings.
Maintain a good relationship with the Food & Beverage brigade.
Communicate with team members through bulletin boards and present the hotel activities and information for all teams.
Assist in taking in restaurant reservations for all outlets.
Any ad-hoc tasks assigned by the Director of Food & Beverage
Requirements:
Candidate must possess at least GCE O Level Certification or Diploma/Advanced/Higher/Graduate Diploma in Hospitality/Tourism/Hotel Management or equivalent.
At least 2 years of working experience in the related field is required for this position.
PC literate and able to communicate in spoken and written English.
