A leading firm in financial services in Singapore is looking for a Finance and Admin Executive to oversee financial records, manage vendor invoicing, and ensure smooth business operations. Candidates should have at least 2 years of relevant experience, strong communication skills, and proficiency in ERP and Microsoft Office.
Job responsibilities for Finance and Admin Executive:
1) Prepare and maintain accurate financial records of all financial records and daily operations including account payable, accounts receivable and reconciliations.
2) Assist in the preparation of the monthly, quarterly, and annual financial / group reporting (HQ) timely.
3) Liaise and cross handle with sales team and supply chain on but not limited to debt collections, export permits, statement of account, inventory/shipment, cross check and posting of documents.
4) Manage vendor invoicing and timely payments.
5) Manage quarterly GST returns and monthly VAT returns.
6) Handling Petty Cash claims and cash/cheque receivables. Manage office supplies, pantry and stationery and office maintenance.
7) Assist with external and internal audits.
8) Collaborate with other departments (e.g, management, sales team and supply chain) to ensure effective business operations to the company’s best benefit while fulfilling customer needs.
9) Observe and suggest possible improvement to management in finance and admin aspects. Promote and influence positive working culture.
10) Manage office operations, procurement and general administrative tasks to support smooth business operations.
11) Managing and maintaining ISO standard compliance (documentation, workflow, etc)
12) Required to maintain a high level of communication and information sharing (non-confidential), ensure work transparency, and provide solutions, suggestions, and assistance to team members in an easily approachable, professional and friendly manner.
13) Managing ad-hoc events such as but not limited to company events, visitors, team building, and oversea colleagues visiting.
14) Manage and take accountability for ad-hoc tasks assigned by management.
Requirements
1. At least 2 years of relevant work experience in finance and admin.
2. Ability to work independently and work as a team to meet goals.
3. Must be polite, friendly manner, willingness to learn and possess good attitude.
4. Strong communication and interpersonal skills
5. Strong organizational and multitasking abilities.
6. Attention to detail for accurate bookkeeping records.
7. Proficiency in ERP and Microsoft Office.
8. Good command of spoken and written English and basic Mandarin.
9. Proactive and take initiative actions to go extra miles to achieve objectives
