Job Summary

We are seeking a meticulous and proactive Finance & Admin Executive to support the company’s finance, office administration, and HR operations. The ideal candidate will be responsible for managing daily bank transactions, accounts receivable/payable, monthly bank reconciliations, and maintaining good relationships with financial institutions. This role also provides administrative support to ensure efficient office operations and assists in HR operational tasks.

Key Responsibilities

Finance & Accounting

  • Handle full sets of Accounts Receivable (AR) and Accounts Payable (AP), including invoice processing, payment tracking, and receivables monitoring.
  • Record and reconcile daily bank transactions accurately.
  • Prepare monthly bank reconciliations and assist in month-end closing.
  • Liaise with banks on matters such as account maintenance, payments, and queries.
  • Maintain and strengthen relationships with bank representatives and financial institutions.
  • Support audit preparation and ensure documentation is complete and accurate.

Office Administration

  • Manage office supplies, equipment maintenance, and office cleanliness.
  • Coordinate with vendors, service providers, and building management for administrative needs.
  • Ensure proper filing and documentation of company records.
  • Assist in organizing company events, meetings, and travel arrangements.

HR Operations Support

  • Support the onboarding and offboarding process (e.g., preparing documents, system updates, and coordination).
  • Maintain and update employee records in HR systems and files.
  • Assist in preparing HR-related letters and documents (e.g., employment contracts, confirmation letters).
  • Help with monthly HR reports and employee attendance records.
  • Support HR initiatives such as employee engagement, training coordination, and performance review administration.

Requirements

  • Diploma or Degree in Accounting, Business Administration, or related fields.
  • At least 2 years of relevant experience in finance, administration, or HR support roles.
  • Proficient in Microsoft Excel and accounting software (e.g., Xero, QuickBooks, or similar).
  • Detail-oriented, organized, and able to manage multiple tasks efficiently.
  • Good interpersonal and communication skills.
  • Able to work independently and in a team environment.
