Job description

Key Responsibilities

1. Personal Finance Support (Approx. 60%)

  • Assist CEOin bilingual (English and Chinese) communication with private banks, financial advisors, and investment consultants;

  • Follow up on the subscription, redemption, and execution of personal financial products;

  • Organize and archive bank statements, financial product documents, balance sheets, and other related materials;

  • Manage personal bank accounts, digital ledgers, and financial records (e.g., Excel or financial logs)

  • Support communications and documentation related to insurance, trusts, family investments, and taxation

2. Family Office Administrative Support (Approx. 30%)

  • Support daily administrative operations of the family office, including document filing, contract management, meeting scheduling, and procurement tracking

  • Coordinate with third-party service providers (e.g., law firms, accounting firms, insurance companies)

  • Assist with CEO’s calendar management, document printing, paperwork organization, and travel bookings

3. Household Affairs Coordination (Approx. 10%)

  • Assist with arranging school interviews, enrollment, and tutoring for the children

  • Help schedule medical checkups, vaccinations, and doctor visits for family members

  • Follow up on urgent family matters, daily arrangements, and travel coordination

Qualifications
  • Bachelor's degree or above, preferably in Finance, Accounting, Business Administration, or Languages

  • Fluent in both Chinese and English with strong writing skillsto liaise with stakeholders; able to communicate smoothly with banks, law firms, etc.

  • Proficient in Excel, PDF tools, Word, Google Calendar, and email

  • At least 2 years of experience in one of the following: Private Banking, Family Office, HNW Client Services, or Executive Assistance

  • Highly organized, discreet, responsible, service-oriented, and reliable

Preferred Qualifications (Nice to Have)
  • Familiarity with Singapore’s banking, tax, investment, and insurance procedures

  • Experience with net worth statement preparation, bookkeeping, or financial product tracking

  • Previous experience in a single-family office, trust company, or financial advisory firm
