Role Description

We are looking for a Facility Admin Officer in SH Cogent Logistics Pte Ltd. The Facility Admin Officer will be responsible in providing support on facility admin duties in the department.

  • Assist in managing and maintaining up-to-date service contracts, licenses, permit and vendors’ contact list.
  • Managing and updating information and documents in shared drive.
  • Keep track of all contracts, licenses and permit expiry dates.
  • Ensure all service reports and delivery orders are in order and assist with processing invoices.
  • Follow-up with the Finance Department for payment to vendors.
  • Communicate with vendors on administrative matters.
  • Sourcing quotations for the relevant purchases, office supplies and pantry supplies.
  • Raise paperwork for issuance of Purchase Orders and ensure goods received are in order.
  • Assist in monitoring and tracking of facilities budget.
  • Conduct toolbox training for operational staff.
  • Follow up with relevant stakeholders and update rectifications photos on Safety findings to Safety team.
  • Provide other administrative support (tabulate meter readings, condition reports, application of Jurong Island Pass, LEAP portal etc.)
  • Any other duties and responsibilities assigned from time to time.

Requirements

  • Diploma or Higher Nitec in Facilities Management/ Building Services or equivalent
  • 1-2 years of facility admin experience preferably in industrial buildings
  • Good proficiency in MS Office and presentation skills

Others

  • Monday to Friday: 8.30am to 5.45pm, Alternate Saturday: 8.30am to 12.30pm
