Facilities Utilities Administrator, 3 months contract

SummarySeeking a detail-oriented Facilities Utilities Administrator to join our dynamic team. In this role, you'll manage the critical process of utilities payments and cost allocations, ensuring operational efficiency across our organization. You'll oversee water and electricity payments, handle cost center charge-outs, and support both the opening and closing of GIRO accounts while maintaining healthy account limits. Responsibilities:

  • Process water and electricity utility payments promptly, ensuring service continuity for all facilities
  • Manage charge-outs for utilities and services (including air-con extensions) to internal business units and tenants
  • Coordinate with various stakeholders to gather necessary data for accurate cost allocations
  • Support the opening and closing of GIRO accounts as needed, ensuring proper documentation and compliance
  • Monitor GIRO limits and process alternative payment methods when transactions exceed limits
  • Monitor and maintain a shared utilities mailbox, ensuring all invoices are processed within 3 business days
  • Support data entry for sustainability metrics, including water and electricity consumption and waste disposal data

Requirements:

• Diploma in business administration, finance, or relevant field

• Exceptional attention to detail and accuracy in data handling

• Experience with utilities management, invoice processing, or financial administration

• Proficiency with Microsoft Office Suite, particularly Excel for data management

• Good communication skills for effective stakeholder coordination

• Ability to meet strict deadlines while maintaining accuracy

• Experience with payment processing systems and procedures is beneficial

• Experience with GIRO account management, including opening and closing procedures

• Knowledge of utility charge-out processes for tenants or business units

• Previous experience in facilities management or real estate operations

• Experience managing multiple stakeholder requests simultaneously
