Soft Services Manager

Work Dynamics - Integrated Facilities Management

Location: Jurong Island

The Soft Services Manager will work closely with the Hard Services Engineering Manager to lead a team of facility executives and soft services vendors. The role involves managing the facility’s day-to-day maintenance, ensuring the smooth functioning of operations, and covering all administrative functions, soft services issues, and facility services. Continuous improvement in processes is a key focus.

You will also participate in emergency evacuation procedures, crisis management, and business continuity planning. Monitoring health and safety issues, reviewing them, and ensuring compliance are essential parts of the role.

The responsibilities include managing site budgets, accounting, maintenance and operations, contract services, procurement of materials, equipment, supplies, occupancy services, and helpdesk functions.

Additionally, you will monitor the facilities infrastructure, vendor performance, and process compliance with standards. The role reports directly to the Facilities Manager.

You should be flexible to take on additional responsibilities beyond your core tasks. Collaboration with engineering and facilities departments in managing contractors is vital. Ensuring workplace safety and participating in health and safety reviews and emergency procedures are also within your scope.

Your specific duties include:

  1. Understanding and ensuring the delivery of Soft & F&B scope of work as defined in the OLA & SFP, in accordance with site SLA.
  2. Reviewing and evaluating maintenance contracts for Soft & F&B services, making recommendations for improvements.
  3. Understanding the operational requirements of Soft & F&B services and maintaining the current service level agreements.
  4. Overseeing daily delivery of Soft & F&B services through designated suppliers, ensuring high standards.
  5. Developing and implementing programs to reduce costs and increase productivity.
  6. Establishing operational procedures and rolling them out to site staff.
  7. Initiating and maintaining a 52-week Soft-Service periodic program and measuring performance.
  8. Planning and ensuring smooth operations of all Soft & F&B services and event management.
  9. Ensuring proper documentation and adherence to change management controls.
  10. Providing monthly Soft-services reports to the Facilities Manager.
