About the Role

The Facility Executive/ Snr Facility Executive will be assisting Facility Team Lead and responsible in managing and maintaining the buildings’ services (soft & hard services). He will be the person in-charge of monitoring and assist the Team Lead for the renewal of relevant licenses, permits and sourcing of quotations for the necessary works.

Responsibilities

• Assist the Team Lead in handling correspondence with tenants and all stakeholders in the day-to-day facilities management matters
• Source for comparative vendors/ sub-contractors to carry out facility maintenance/ repair works
• Prepare and evaluate quotations and advise the management on selecting suitable vendors and award such quotations/contracts with the management approval.
• Plan, implement and execute preventive maintenance regime and/ or ad-hoc upgrading/ reinstatement project and monitor the work progress.
• Identify improvement and replacement works required for facility related matters for smooth day to day operation of the building.
• Supervise in-house operational staff and vendors to ensure smooth day-to-day operations.
• Conduct Safety- training programs such as safety toolbox meetings and briefings to supervisors, security, cleaners, and technicians
• Service contract administration and monitoring of contractors/ vendors performance

Accountabilities

• Ensure supervisors, technicians and cleaners perform their works in a safe manner
• Monitor and ensure all works carried out by in-house technicians and external contractors are up to standard
• Identify safety hazards in operation areas and proactively eliminate any risks
• Stakeholders’ management- prompt follow-ups/ communication with all internal/ external stakeholders

Qualification

• Higher Nitec/ Diploma or Degree holder
• Higher Nitec- Minimum 3 years of experience
• Diploma/ Degree- Fresh graduate welcome

• Strong analytical, interpretive and negotiation skills with a considerable degree of evaluative judgement
• Organised and able to manage and prioritise multiple competing projects and tasks with high level of quality
• Personable team player who is equally comfortable working independently and autonomously within established procedures, guidelines and plans.
