Job description

OVERVIEW

General facilities upkeep involving cleanliness, security, structural, safety, electrical, mechanical, plumbing, furnishings, landscaping and related systems of School West.

RESPONSIBILITIES

1. Coordinate and provide daily support on facilities management.

2. Source, manage and supervise vendors and contractors for repairs & redecoration, renovation, preventive and corrective maintenance works and additional & alteration works, to ensure that all works are carried out safely, in compliance with statutory requirements and completed within specified time frames and budgets.

3. Source, manage and supervise contractors for security, cleaning, pest control and landscaping to ensure that premises are kept well maintained and safe.

4. Prepare a yearly preventive maintenance schedule at the start of each year and ensure that all essential equipment including lifts, fire protection system and pumps are featured in that schedule.

5. Prepare a yearly review of the capital expenditure list engaging the feedback of all relevant HODs so that essential replacements/renovations are planned ahead.

6. Be contactable and on standby 24/7 as a responder to any emergencies relating to safety and security of the premise.

7. Conduct periodic inspection of School facilities to determine condition and where major repair works are required to make appropriate recommendation to supervisors.

8. Maintain updated facilities related vendors contact list, services contract renewal and inspection dates.

9. Track and manage yearly submissions to authorities for annual certification and licensing requirements including Fire Certification, Electrical Installation at Premise, Lift, Clinic, Water Tank etc.

10. Safe-keep all facilities related service reports for easy retrieval/reference.

11. Plan, schedules and executes routine facilities maintenance and submit reports on a monthly basis to supervisor.

12. Ensure regulatory, quality and safety standards relating to facilities maintenance are observed.

13. Assist to ensure compliance with organization and statutory health and safety standards and make recommendation on priorities and actions for improvement.

14. Assist to develop safe standard work practices with management.

15. Act as Fire Safety Manager for the School.

16. Participate in budgeting exercise in relation to facilities maintenance and upgrading projects.

17. Organise and manage driver’s schedule (including servicing & inspections)

18. Overall in charge of school keys management – loaning out to staff and vendors and daily checks

REQUIREMENTS

1. Sound technical knowledge and skills in Building and Mechanical & Electrical services.

2. Good experience in managing projects, improvement, repair and maintenance works.

3. Possess the ability to work well in a dynamic environment.

4. Possess impartiality, integrity and transparency in handling all works, especially procurement.

5. Willingness to be contactable and on standby 24/7 for any emergencies.

6. Depending on work exigencies, willingness to work beyond office hours and weekends.

7. Good interpersonal, writing and communication skills.

8. Able to work in a team as well as independently.

9. Proficient in MS Office applications.
