Facilities Management / Soft Service
- Handle enquiries via call, email, or 'afr' Corrigo helpdesk and escalate to relevant parties for follow-up until completion.
- Follow up closely with Technicians and FCs on requests and queries from users to ensure service delivery meets user satisfaction.
- Janitorial Services: Update weekly on weekend work progress, arrange cleaner backup system and buffer duties.
- Arrange access to restricted areas for cleaning.
- Manage vendors (landscape, water dispenser, flora arrangement, cleaning, pest control, etc.).
- Onboard vendors in the Fieldglass system.
Finance-related (Invoices/PO)
- Process payments for soft service vendors in Corrigo/JDE, including preparing urgent/normal cheque requests, monitoring approvals, and submitting to accounts payable. Maintain tracking records, update shared drives, and file documents.
Administration - Contracts / SOPs / Trackers / Monthly Reports / Vendor Information
- Provide admin support for new contracts and renewals with valid insurance.
- Assist in maintaining all operation and maintenance manuals for soft service equipment.
- Help update BCP vendors' information with facilities lead.
Waste Management and Sustainability
- Input monthly waste management survey data (e.g., recycling of cans, cartons, paper, trash, confidential paper).
- Upload information to SharePoint and generate monthly reports.
- Initiate ideas and activities to promote sustainability awareness within the firm.
- Report waste and sustainability data.
Health & Safety
- Arrange training sessions for AED and First Aid.
- Purchase and restock First Aid and AED supplies.
- Assist users with ergonomics matters and provide professional advice.
Space Planning
- Update BU user space and floor plans in collaboration with the Manhattan space planning team.
Experience, Education & Qualifications
- A minimum of 1-3 years’ experience in corporate real estate, facilities, or property management industry.
